Position: Assistant to the CEO )

The Assistant to the CEO will provide high-level administrative and operational support to the CEO and Executive Office, with a strong focus on supporting business operations based in Dubai. This dynamic role requires exceptional organizational skills, the ability to operate in a fast-paced environment, and a proactive mindset in anticipating needs and ensuring the smooth execution of all CEO-related and operational tasks.

The ideal candidate is highly detail-oriented, agile, and capable of managing multiple priorities while supporting a wide range of operational activities related to the business in Dubai. The role requires close coordination with internal teams, external stakeholders, and clients, while consistently maintaining the highest standards of professionalism, discretion, and confidentiality.

Key Responsibilities
  • Manage the CEO’s calendar, including meetings, appointments, invitations, and travel arrangements.
  • Track and follow up on all tasks, requests, and action items assigned by the CEO to internal teams, clients, and external partners.
  • Proactively remind the CEO of pending items requiring review, approval, or decision.
  • Act as a key point of contact for internal and external communications on behalf of the CEO.
  • Coordinate and follow up with clients to ensure timely communication, updates, and task completion.
  • Prepare meeting agendas, briefs, presentations, and follow-up documentation.
  • Maintain organized records, files, and documentation for easy access and reference.
  • Support operational tasks across the business
    , handling any ad-hoc or operational matters related to ongoing work.
  • Identify opportunities to improve workflows, efficiency, and time management for the CEO.
  • Leverage AI tools and productivity technologies to streamline tasks and enhance efficiency.
  • Coordinate with various departments to ensure seamless communication and execution of tasks.
  • Demonstrate flexibility to work outside standard office hours when required.
  • 100% based in Dubai
    , UAE (with occasional travel to Riyadh, Saudi Arabia).
  • 3–5 years of experience supporting senior executives or C-level leadership.
  • Fluent in English and Arabic (spoken and written).
  • Highly organized with exceptional follow-up and multitasking abilities.
  • Proactive, dynamic, and able to anticipate needs without direct instruction.
  • Comfortable handling a wide range of operational and administrative tasks
    .
  • Proficient in AI tools such as ChatGPT and modern productivity platforms.
  • Flexible and adaptable in a fast-paced work environment.
  • Maintains the highest standards of professionalism, discretion, and confidentiality.
  • Bachelor’s degree preferred.
  • Strong communication and writing skills.
