Responsibilities
- Maintain and organize engineering documents, drawings, and specifications.
- Support project managers in coordinating tasks and schedules.
- Use data entry software and tools, e.g., Word and Microsoft Excel.
- Control the flow of documents in and out of the department, managing email correspondence, telephone confirmations, and document filing per project requirements.
- Type and prepare outgoing correspondence for consultants and subcontractors to ensure professional communication.
- Compile detailed progress reports, including daily, weekly, and monthly reports.
- Gather invoices, statements, reports, personal details, and other critical documentation from employees, departments, and clients to maintain comprehensive records.
- Maintain accurate logs and filing systems for project documents, update drawing registers, and track submittal documents.
- Organize QA/QC documentation by arranging inspection reports, material approvals, and compliance records.
- Archive and file incoming documents from consultants systematically for easy retrieval and secure storage.
- Monitor and follow up on pending approvals and document status to ensure deadlines are met.
- Provide administrative support to project teams, including report preparation, meeting organization, and maintaining project schedules.
- Bachelor's degree in a relevant field such as Business Administration, Information Management, or Engineering is preferred.
- Minimum of 3 years of experience in document control within the construction or engineering industry is essential.
- Certifications in Document Control or Project Management (e.g., PMP, ISO) are highly regarded.
- Proficiency in document management software (e.g., Aconex, SharePoint) and MS Office Suite is a must.
