Key Responsibilities
- Document Control & Project Administration: manage and maintain all project documentation including drawings, reports, RFIs, approvals, transmittals, inspection records, meeting minutes, and correspondence; ensure proper document numbering, version control, distribution, and archiving of all project records; maintain updated registers for drawings, material submissions, authority approvals, contractor submissions, RFIs, and NCR observations; track and monitor submission status to contractors, Trakhees, client and internal teams.
- Site Coordination and Support: liaise effectively between the Project Manager, Resident Engineer, Site Inspectors, Design Teams, Contractors, and Client representatives; coordinate internal and external meetings including preparation of agendas, presentations, action trackers, and minutes; follow up on action items and maintain logs for closure and reporting; support site teams with administrative coordination and preparation of supervision documentation.
- Authority Compliance Coordination: maintain records and status tracking for Trakhees approvals, NOCs, inspection requests, and authority submissions; assist with preparation and coordination of documentation required for authority approvals and construction permit compliance; monitor submission deadlines and ensure timely follow-up with relevant stakeholders.
- Reporting: prepare weekly and monthly progress reports and dashboards; track key project milestones and maintain project logs; support implementation of document control and reporting procedures to improve project efficiency; carry out additional duties as assigned by the Project Manager.
- Bachelor’s Degree or Diploma in Architecture, Civil Engineering, or Construction Management.
- Minimum 3–5 years’ experience in document control and project coordination within construction consultancy or supervision projects.
- Previous experience in villa projects, residential developments, or Trakhees projects is preferred.
- Strong understanding of construction documentation and authority submission workflows.
- Experience with document management systems and electronic filing platforms.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Strong organizational and communication skills.
- Ability to work in a fast-paced site environment.
- Immediate availability preferred.
- Experience coordinating with Trakhees.
- Familiarity with supervision workflows and contractor coordination.
- Knowledge of construction stages, inspections, and site documentation.
