As Shamal Holding continues to grow we are in search of an Executive Assistant. In this role you will be managing administrative tasks, coordinating schedules and providing essential assistance to the management team to ensure smooth operations.
- Provide comprehensive administrative support to senior management, including calendar management, meeting coordination and correspondence handling.
- Act as the primary point of contact for internal and external stakeholders, ensuring clear and effective communication.
- Organise and maintain documents, records and files, including operational compliance and regulatory documentation.
- Arrange and coordinate meetings, conferences and appointments, ensuring optimal use of executive time.
- Conduct research and compile data and reports to support decision‑making and strategic planning.
- Support special projects and initiatives with administrative and logistical coordination.
- Execute additional tasks as assigned by senior management, demonstrating flexibility and adaptability.
- Coordinate and track timelines across multiple projects, ensuring milestones and deadlines are met.
- Maintain and manage centralised project schedules and trackers.
- Follow up with stakeholders and project teams on deliverables and status updates.
- Prepare reports, dashboards and presentations for senior leadership review.
- Maintain visibility on project status, risks, dependencies and key deliverables.
- Support planning sessions, documentation and execution of strategic initiatives.
- Assist with resource planning, prioritisation and scope change management documentation.
- Identify bottlenecks or delays and escalatie issues to relevant stakeholders when required.
- Ensure alignment of project activities with overall business objectives and timelines.
- Facilitate cross‑functional communication and collaboration across teams.
- Bachelor's degree in business administration, management or a related field.
- Associate's degree or certification in office administration, secretarial studies or a relevant area may also be acceptable.
- A minimum of 2 years proven experience in administrative support roles, preferably in a similar industry or environment.
