Job Description
The Senior Personal Assistant Executive Secretary provides high‑level confidential administrative and organizational support to the General Manager, ensuring the smooth and efficient running of the executive office.
Responsibilities- Executive Support and Diary Management: Oversees executive scheduling, optimizes the calendar, anticipates conflicts, prepares and proofreads correspondence, presentations, reports, and briefing materials.
- Communication and Stakeholder Management: Acts as the primary point of contact for internal and external communications, drafts emails, letters, minutes, and internal memos while maintaining confidentiality and discretion.
- Meeting, Event, and Travel Coordination: Plans and coordinates executive meetings, travel arrangements, and corporate engagements; prepares agendas, collates documents, takes minutes, and manages follow‑up on action items; arranges complex local and international travel and supports corporate events.
- Office and Information Management: Oversees executive office administration, maintains filing systems, digital and physical records, prepares expense reports and procurement requests.
- Project and Business Support: Assists in tracking key projects, timelines, and deliverables, conducts research, prepares summary reports, and coordinates cross‑departmental communication on strategic initiatives.
- Brand and Professional Representation: Maintains a polished professional presence, upholds the company’s luxury brand standards through etiquette, grooming, and communication style.
- Coordinates meetings, schedules, and travel arrangements on behalf of the executive office.
- Communicates and follows up with internal departments and external stakeholders on executive matters.
- Requests required information and updates for executive reporting and coordination purposes.
- Coordinates administrative support activities related to the executive office.
- Final approval of business decisions, financial commitments, and external corporate communications remains subject to management approval.
- Bachelor’s Degree in Business Administration, Management, or a related field.
- 5 to 10 years of experience as an Executive Secretary in management roles within the construction and real‑estate industry is preferred.
- Excellent organizational and time‑management skills with the ability to manage multiple priorities and deadlines.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant productivity tools.
- Exceptional written and verbal communication skills in English and Arabic.
- High attention to detail, accuracy, and quality in all documents and communications.
- Discreet handling of confidential information and strong judgment in sensitive situations.
