My client is currently looking for a Pa to support the Managing Director of a leading provider of Health, Safety, Security and Environment (HSSE) and support services to the Middle East and Africa (MEA) oil and gas industry.
Responsibilities- Extensive and complex diary management; preparation of detailed international travel itineraries (visas, correspondence support and management of highly confidential matters)
- Manage and administer meetings and conferences; both local and international including:
Board meetings, Executive Leadership Team & corporate social events - Receive and interface with senior clients and partners
- Assistance with preparation of business reports and presentations
- Provide administrative support; expenses, correspondence, IT requests, file management & interface with all internal departments
- Screen telephone calls and e-mails of the MD, taking appropriate action where necessary
- Support the MD on all presentations required for Executive meetings
- Liaise with regional staff as and when required
- Ensure an effective document management system is maintained for both paper and electronic documents
- Task Management, to include managing status, time, notifications, meeting management and follow up of assigned tasks
- Administration and follow up of action points from meetings
- Management of SharePoint site
- Manage visas for the team, ensuring key individuals have visas for the appropriate countries at all times
- Manage travel for key members of the team
- Purchase orders as required
- IT Key User for the team
The successful candidate will speak at least 2 languages (one preferably being Arabic). You will be extremely efficient, organized, and pay extreme attention to detail. You will also have the experience and sensitivity dealing with confidential information. Excellent use of MS Office tools (Word, PowerPoint, Excel, and Outlook) are also essential as is the willingness to work irregular hours.
