Role Overview
The Fleet Coordinator is responsible for ensuring the efficient availability, quality, and readiness of the vehicle fleet across all locations. The role involves managing idle fleets, coordinating vehicle movements with dispatch, monitoring workshop progress, supporting repairs and replacements, and ensuring vehicles are prepared on time for rental, lease, or sale. The Fleet Coordinator works closely with operations, workshop, and accounts teams to maintain high fleet standards, resolve issues promptly, and ensure smooth day-to-day fleet operations.
Key Responsibilities- Prepare reconciliations of idle fleets and provide backup vehicles at all sales locations.
- Ensure sufficient idle cars are available at all counters.
- Monitor the status of vehicles in workshops collected from counters.
- Coordinate deliveries and vehicle movements with the dispatch team.
- Allocate idle cars to counters and manage lease replacements.
- Inspect vehicle physical condition and ensure accurate check slip information.
- Address and resolve all fleet-related issues promptly.
- Ensure sale vehicles and registration-expiry vehicles are pulled out on time.
- Send sale vehicles to DIP after QC approval.
- Obtain estimates for damaged vehicles from counters and lease off-hires, and follow up for approvals daily.
- Assist AUH walk-in customers with service and repairs, issuing job cards and coordinating with workshops.
- Follow up on repair estimates, process workshop charges and update EDR systems.
- Provide supporting documents for repair estimates to the accounts team when required.
- Maintain the quality and condition of company vehicles, ensuring all required rectifications are completed before releasing any vehicle for sale or customer use.
- Conduct mandatory evaluations for leased or spot vehicles and ensure timely rectifications.
- Perform additional duties as assigned by the manager.
- Minimum 2-3 years of experience in the car rental industry.
- Knowledge of fleet operations and basic vehicle maintenance.
- Proficiency in MS Office and internal systems.
- Strong coordination, organizational, and multitasking abilities.
- Attention to detail with accurate documentation and reporting.
- Effective communication and teamwork skills.
- Ability to resolve operational issues efficiently.
- Valid UAE driving license (advantageous).
