The Deputy Manager – Purchase will be responsible for managing the end-to-end procurement process, ensuring cost-effective sourcing of goods, maintaining strong supplier relationships, and optimizing inventory levels. This role involves coordinating with suppliers, negotiating pricing and terms, ensuring timely deliveries, and maintaining smooth procurement operations aligned with company requirements.
Key Responsibilities- Prepare and maintain a comprehensive list of stock items required by the company.
- Identify, evaluate, and onboard reliable suppliers.
- Send inquiries to suppliers, collect quotations, and compare pricing and commercial terms.
- Negotiate contracts, prices, and payment terms to secure optimal value.
- Build and maintain strong supplier relationships to ensure quality and timely deliveries.
- Issue purchase orders (POs) to approved suppliers.
- Track orders, monitor production progress (where applicable), and ensure timely shipments.
- Coordinate with logistics and shipping teams to ensure smooth customs clearance and delivery.
- Resolve issues related to delays, quality discrepancies, or shortages.
- Analyze market trends to anticipate price fluctuations and secure favorable terms.
- Monitor inventory levels and reorder points to avoid shortages or excess stock.
- Implement cost-saving initiatives without compromising quality.
- Maintain accurate procurement records, including POs, invoices, and contracts.
- Verify supplier documentation such as certifications, compliance records, and quality reports.
- Ensure adherence to company policies and international trade regulations.
- Collaborate with warehouse, finance, and sales teams to align procurement with demand.
- Prepare regular reports on procurement status, cost savings, and supplier performance.
- Education: Bachelor’s degree in Supply Chain Management, Business, or a related field.
- Experience: Minimum of 5 years’ experience in procurement or purchasing, preferably with China-based suppliers.
- Strong negotiation and supplier management capabilities
- Proficiency in procurement software and ERP systems
- Analytical mindset with expertise in cost optimization
- Knowledge of international trade, including INCOTERMS, shipping, and customs procedures
- Fluency in English
