Description
In this role, you will act as the first point of contact for families visiting the center, ensuring a welcoming and professional patient experience while supporting the smooth coordination of appointments, insurance processes, and front office operations. You will work closely with therapists, operations, and management teams to maintain efficient daily clinic activities and provide exceptional support to children and caregivers.
Role& Responsibilities
- Welcome patients, families, and visitors in a professional and child-friendly manner
- Manage patient registration, documentation, and file updates while maintaining confidentiality
- Handle inbound calls, Whats App messages, emails, and walk-in inquiries promptly and professionally
- Coordinate appointments, therapist schedules, cancellations, and rescheduling requests
- Send reminders and follow up with patients to minimize missed appointments and no-shows
- Coordinate with insurance providers regarding eligibility checks, approvals, and required documentation
- Support claim submissions and follow up on approvals, rejections, and pending cases
- Maintain accurate insurance and patient records
- Prepare and maintain appointment trackers, therapist schedules, and operational reports
- Use Excel for reporting, reconciliation, and daily administrative tracking
- Support internal coordination and general clinic administrative operations
- Ensure high levels of customer service and patient satisfaction at all times
