We are currently recruiting for a Senior Coordinator – Soft Services to join our Integrated Facilities Management team in Dubai.
ScopeEnsure the effective delivery of contractual FM provisions by maintaining daily deployments, meeting KPIs, managing financial processes such as invoicing and approvals, and coordinating smooth IFS operations across multiple sites.
This role also drives customer satisfaction and operational excellence through stakeholder coordination, employee training, resource management, process compliance, and continuous improvement initiatives that enhance service quality and innovation.
Responsibilities- Ensure daily deployments are maintained as per the contractual.
- Ensure invoices information and client approvals are shared within the stipulated time frame.
- Ensure contractual KPIs are maintained as per scope.
- Provide efficient and effective coordination for running smooth IFS operations.
- Coordinate with all internal stakeholders to support new contract mobilization.
- Maintain effective and professional communication with internal departments and clients.
- Respond promptly to client escalations and operational requirements.
- Identify operational challenges and implement solutions to enhance efficiency.
- Manage resources to ensure smooth operations across all sites.
- Conduct regular cleaning audits across all contracts to uphold standards.
- Maintain accurate training records and ensure all staff certifications remain current.
- Design and implement structured training programs for cleaning staff and supervisors.
- Create work schedules aligned with contractual scope to ensure seamless service delivery.
- Report any service variations to the Operations Manager promptly.
- Utilize CAFM systems effectively to support contract requirements.
- Collate and maintain records related to disciplinary actions, incident reports, and annual leave for reference.
- Monitor training effectiveness through assessments and on-site evaluations.
- Identify and implement technology solutions.
- Improve cleaning effectiveness by developing new cleaning methods.
- Create customized cleaning solutions.
- Introduce best practices and continuous improvement initiatives through regular workshops.
- Conduct regular clean quality audits across all contracts and share reports with stakeholders.
- 3+ years’ experience in a similar industry and capacity.
- BICS certification or equivalent certification.
- Demonstrated experience in providing trainings and workshops.
- Good English written and communication skills.
- Valid UAE driving license.
- Extensive knowledge in computer/reporting systems.
- Good knowledge of cleaning operations including machines, chemicals and other processes.
