Reports to Quality Manager / Senior Management.

Job Objective

To ensure the quality of daily operations, enforce compliance with approved policies and procedures, enhance operational performance, apply the highest standards of control, monitor productivity, and prepare accurate reports that contribute to improving quality levels, reducing errors, and minimizing operational costs.

Detailed

Roles and Responsibilities Quality Monitoring of Daily Operations
  • Ensure full compliance with all operational procedures across warehouses and departments.
  • Perform daily field inspections to verify proper execution (Loading – Receiving – Dispatch – Documentation).
  • Ensure data accuracy and validate the integrity of reports submitted by employees.
Productivity Analysis and Performance Monitoring
  • Review daily, weekly, and monthly productivity reports for all employees and departments.
  • Analyze results, identify deviations, and recommend necessary corrective actions.
  • Prepare clear performance reports for senior management.
Quality Systems & Compliance Implementation
  • Implement company policies and ensure adherence to administrative control standards.
  • Monitor compliance with HR policies and professional conduct guidelines.
  • Ensure employees complete required training on new procedures.
Internal Auditing & Error Monitoring
  • Conduct daily/weekly audits on documents, loading procedures, imaging, delivery, storage, and related processes.
  • Detect and document operational errors and escalate them to the relevant department for corrective action.
  • Follow up on Non-Conformity Reports (NCR).
Operational Incident Investigation
  • Investigate any operational gaps, damages, or losses.
  • Identify root causes of errors (Root Cause Analysis).
Periodic Reporting
  • Prepare weekly and monthly quality reports and submit them to management.
  • Provide summaries of performance improvements, compliance levels, and recurring issues.
  • Develop performance dashboards for management review.
Process Improvement
  • Review and redesign workflows to enhance efficiency and reduce processing time.
  • Propose improvement solutions based on performance indicators and analytical findings.
  • Follow up on the implementation of improvements and evaluate their effectiveness.
Training and Awareness
  • Train new employees on operational procedures.
  • Conduct workshops to enhance quality awareness and discipline across departments.
  • Promote a strong quality culture within the company.
Support to Key Departments
  • Coordinate with HR, Finance, Logistics, and Customs departments.
  • Ensure unified procedures across branches and warehouses.
  • Monitor managers’ adherence to approved procedures.
Required Qualifications and Skills Academic Qualifications
  • Bachelor’s degree in Business Administration, Quality Management, or related fields.
  • Professional certificates in quality (ISO, Six Sigma, TQM) are an added advantage.
Experience
  • Minimum of 5 years of experience in quality, compliance, or operational management.
  • Experience in shipping or automotive sectors is a strong advantage.
Technical Skills
  • Strong data analysis and dashboard development skills.
  • Solid knowledge of operational processes and workflow.
  • Ability to prepare clear, accurate, and professional reports.
Personal Skills
  • Strong personality with the ability to enforce standards and procedures.
  • High attention to detail and accuracy.
  • Ability to work under pressure.
  • Integrity, fairness, and objectivity in performance evaluation.
Key Performance Indicators (KPIs)
  • Rate of operational errors before and after implementing control measures.
  • Compliance rate with quality procedures.
  • Number of complete and accurate reports submitted monthly.
  • Reduction in operational losses and damages.
  • Speed of handling incidents and errors.
  • Employee daily productivity compliance rate.
  • Number of implemented improvements within the year.
Authority
  • Direct oversight of operational departments.
  • Right to request reports or data from any department.
  • Submitting recommendations to senior management for necessary actions.
  • Right to halt any non-compliant operation until corrective action is taken.
