Job OverviewWe are seeking an experienced Property Administrator to join our dynamic team based in Dubai. The ideal candidate will provide support to the property management team as well as manage and coordinate the administrative aspects of the office.
ResponsibilitiesCoordination & Support
- Assist property management team in administrative tasks by coordinating with the concerned departments i.e., Accounts /Projects/Leasing Departments etc.
- Assist in scheduling and coordinating with tenants/suppliers/vendors for meetings
- Provide subject matter expertise, guidance, and direction towards property management team for assigned property locations.
Documentation & Control
- Prepare and manage drawings, estimates, and any other related documents such as NOC/Letters for all properties
- Collect and maintain documents such as trade licenses, passport copies, Emirates s etc.
- Prepare various logs and information pertaining to the building, equipment, services, tenants, and clients and advise management of actions needed
- Prepare reports by reviewing and analyzing maintenance/renovation reports
- Compile detailed records of maintenance works by preparing excel sheets and company software.
Administrative Support
- Greet guests and visitors with a positive, helpful attitude and always maintain a welcoming atmosphere in the office.
- Receive and make calls as and when required in a courteous manner.
- At least 2 years of experience in commercial and/or residential real estate administration field.
- UAE experience is essential to know and understand the Laws and Legislation regarding property including RERA, Dubai Municipality, etc.
- Must be able to prepare any property management document related to properties.
- Real Estate/facility management background is preferred.
- Bachelor’s degree in business, management or administration.
- Good communication (written and verbal) and interpersonal skills.
- Initiative and ability to think and resolve issues
- Having a UAE driving license is advantageous
- Excellent communication in English is mandatory while knowing Arabic would be advantageous.
