Buying Admin Assistant - Women Casuals - Bloomingdales & Harvey Nichols Fashion Job Description

Step into the world of luxury fashion and play a key role in shaping the Women’s Casual assortment across two of the region’s most influential department stores Bloomingdale’s and Harvey Nichols. We are seeking a Buying Administrator to support our Buying team in delivering a trend‑driven, commercially successful collection that inspires our customers every day.

This is a fantastic opportunity for someone passionate about fashion, data‑driven decision-making, and supporting the end‑to‑end product journey.

The Buying Administration Assistant plays a key role in supporting the Buying team by delivering essential administrative and operational assistance across the full buying cycle. This position helps drive sales and margin performance by maximizing in‑season opportunities, ensuring accurate and timely product data, and contributing to informed inventory decisions.

Responsibilities

Key Responsibilities:

Buying & Product Support

  • Support the Women’s Casual Buying team with daily and weekly administrative tasks.
  • Assist with creating look books, trend presentations, and seasonal product decks.
  • Prepare competitor price checks, benchmarking reports, and market analysis.
  • Validate buy information and support marketing teams with product data readiness.
  • Ensure accurate product hierarchy, descriptions, pricing, and upload information for digital readiness.

Supplier & Brand Coordination

  • Liaise with brands and suppliers on deliveries, stock availability, confirmations, and product details.
  • Manage return‑to‑vendor cases (RTVs) and resolve supplier queries alongside the Buyers.
  • Coordinate seasonal showing dates and maintain the market calendar.

Operational Excellence

  • Monitor product flow for digital channels and resolve data‑related rejections.
  • Maintain updated master files, databases, and records with high accuracy.
  • Support with delivery‑window management, cancellations, and late delivery negotiations.
  • Assist stores with product enquiries, damage cases, and customer complaint escalations.
Qualifications

What You Bring

Bachelor’s degree in business, fashion, retail, or a related field.

Minimum 2 years’ experience in fashion buying, merchandising, or planning within retail/luxury.

Strong analytical ability and confidence working with merchandising financials.

Excellent skills in Excel and MS Office.

Sharp eye for detail, strong organizational skills, and ability to multitask in a fast‑paced environment

Clear communication skills and the ability to partner effectively with cross‑functional teams.

Passion for fashion with an understanding of category trends, benchmarks, and competitors.

Aptitude to function within deadlines, while working both independently and as part of a team.

Ability to recognize, analyze and quantify market trends.

Ability to work independently and proactively, with excellent attention to detail.

Demonstrate ability to build and foster productive working relationships with cross‑functional teams and vendors.

Additional Requirements

Product / brand orientation with good knowledge of fashion industry and benchmarks.

Stakeholder management skills to build and maintain collaborative relationships with internal and external stakeholders and counterparts.

Commercial skills with the ability to identify opportunities and potential business risks.
