Fleet Supervisor; Logistics
Job Purpose
To manage and optimize the day‑day operations of the company fleet, ensuring vehicle availability, compliance, and cost efficiency. The role is responsible for overseeing fleet administration, preventive maintenance, repairs, and accident management to achieve minimum downtime and targeted uptime levels. Ensure compliance with safety, regulatory, and quality standards while monitoring driver performance and resource utilization. Control fleet operating costs through effective vendor coordination, expense tracking, and performance analysis.
Keyaccountabilities
Fleet Administration & Compliance:
- Oversee vehicle registration, insurance, passing, and renewal of registration cards for new and existing vehicles.
- Ensure statutory compliance by maintaining RTA Traffic File, employee EIDs, and vehicles free of fines.
- Monitor and manage driver licenses, road permits, delivery permits, and vehicle branding permits, ensuring timely renewals.
- Manage balances and transactions for E-Wallet systems (Salik / Darb).
Vehicle Operations & Preventive Maintenance:
- Track and analyze daily vehicle usage to plan servicing and preventive maintenance schedules.
- Conduct regular preventive inspections to ensure optimal vehicle serviceability and minimize breakdowns.
- Coordinate with vehicle custodians to ensure scheduled maintenance is completed on time.
- Receive vehicles physically from drivers and validate job cards before repair or maintenance activities.
- Ensure up time of 98% of the vehicles at any given point of time.
Workshop & Repair Management:
- Personally inspect vehicles requiring part replacements and authorize parts replaced by the garage.
- Liaise with garage to obtain timely repair quotations, approvals, and invoice submissions.
- Inspect vehicles under repair to validate repair requirements and ensure spare parts quality and workmanship.
- Ensure vehicles are released from the garage after completing all required checks.
- Monitor garage backlog and implement actions to clear pendency regularly.
- Monitor TAT for all the repairs and submit monthly report on TAT achievement and reason for non achievement.
Accident & Insurance Management:
- Liaise with admin team and Register accident claims and coordinate with insurance providers for survey and repair approvals.
- Liaise with garage to ensure timely, cost-effective, and quality accident repairs.
Fleet Cost & Expense Control:
- Track and control fleet-related expenses and generate analytical reports for financial visibility.
- Raise and manage purchase orders for fleet requirements through ERP systems.
- Coordinate proactively with Garage for spare parts planning and availability.
- Track cost per KM and achieve the industry standard.
GPS & Technology Monitoring:
- Monitor GPS systems to ensure compliance with operational efficiency and safety standards.
- Maintain accurate fleet data and dashboards through Excel and other reporting tools.
Driver & Resource Management:
- Assess driving capabilities of new drivers shortlisted by HR.
- Prepare and manage driver attendance, overtime, and leave planning to ensure operational continuity.
- Handle vehicle handover and takeover processes and resolve related disputes.
Health, Safety & Quality Standards:
- Ensure all drivers comply with quality, health, and safety standards.
- Ensure all drivers are equipped with appropriate personal protective equipment (PPE).
- Enforce adherence to standard operating procedures (SOPs) during the delivery.
Reporting. MIS & Continuous Improvement:
- Manage, develop, and motivate drivers to achieve productivity
- Analyze technical and administrative processes to identify improvement opportunities and implement best practices.
- Plan and develop systems to enhance garage efficiency, output quality, and turnaround time.
- Facilitate training, coaching, and continuous development of team members.
- Provide ongoing technical guidance and support to the team.
- Prepare and present monthly technical, administrative, and MIS reports to senior management.
- Implement procedures to record, monitor, and address operational setbacks with corrective actions.
- Report employee performance and workshop productivity to higher management.
- Diploma or Bachelor’s degree in Mechanical Engineering, Automotive Engineering, or a related field.
- Minimum 4–6 years of hands‑on experience managing fleets in distribution, logistics, or FMCG environments.
- Strong knowledge of UAE RTA regulations, vehicle registration, insurance, permits, and statutory compliance.
- Proven experience in preventive maintenance planning, workshop coordination, and repair turnaround management.
- Solid understanding of fleet cost control
- Ability to manage drivers, enforce safety standards, and coordinate effectively with garages, vendors, and internal stakeholders.
