The customs specialist is responsible for shipments to be cleared against original paperwork in compliance with the customs law of Dubai through effective planning, direction, and coordination of the activities within the department. The person should be responsible to update the reporting manager about daily activities and escape issues if any.
Detailed Responsibilities- Manage Brokerage Customers, owning the relationships.
- Act as a one point of contact for assigned customers.
- Ensure Brokerage files are fully and accurately completed.
- Resolve complaints and respond to customer queries within agreed timelines and proactively escalation any matters needing immediate attention.
- Liaise directly with Air & Sea & Road departments on shipment, planning and coordination.
- Receive and send pre-alerts/routing orders/bookings to customers/ network and sales.
- Pre-alert at least 24 hrs. Prior to shipment arrival at destination.
- Monitor ETD /ETA with airlines/handling agents/DNATA and or 3rd party forwarders to ensure on time clearance and delivery.
- Coordinate with clients regarding freight clearance instruction, type of Bill of Entry and ensure correct documentation for customs clearance.
- Coordinate with the Shipper /Destination station/Customer support for any discrepancy on shipping documents.
- Inform customer of shipment status in a regular and timely manner.
- Verify and acknowledge Intercompany invoices daily.
- Credit notes approval process to be followed strictly.
- Duty approval process to be followed strictly.
- Customers without credit will be strictly under COD.
- Shipments to be strictly moved once all the information is available based on sales & Operations agreement.
- Ensure accurate coordination within network and client.
- Maintain Department SOPS and rates for all customers.
- Comply and adhere to export or import administration regulations.
- Monitor that exits (FZE) are followed up upon to customs with proof of export.
- Ensure you have a good filing and safe keeping process of Customs Documents in line with local regulations.
- Customs rules and regulations and any changes to be shared with Air & Sea operations and management who will ensure communication to the network.
- Update tariff according to Customs rate and fee changes, if any.
- Achieving KPI’s and monitor performance.
- Develop knowledge on customs qualifications, ensure new regulations are understood and implemented where required.
- Ensure accurate invoicing is done on a timely, daily basis within 72 hours of shipment completion and all supporting documents are attached with the invoices, as per the client requirements.
- Ensure billing is 100% accurate.
- Ensure timely resolution of any discrepancy in invoicing.
- Credit notes to be strictly avoided, an approval should be obtained from the operations manager prior to issuing any credit note.
- Ensure invoicing delay is communicated with Data Quality and ensure operations manager is aware of any discrepancy.
