Job Overview:We are looking for a highly organized Administration & Logistics Executive to oversee and manage our internal logistic operations. The ideal candidate will ensure that shipments, inventory and distribution processes run smoothly and efficiently. The role ensures efficient supply chain operations, timely delivery, and full compliance with import/export requirements.
Position and Reporting StructureAs Administration & Logistics Executive, you will report directly to the Supply Chain & Logistics Manager and will be an integral part of our Logistics team.
KeyDuties and Responsibilities:
- Plan, coordinate and monitor inbound and outbound logistics operations.
- Ensure timely and accurate submission of documentation for shipping, customs clearance, and inventory records.
- Monitor shipment schedules and ensure timely delivery to customers, vendors, and internal departments.
- Liaise with freight forwarders, customs brokers, and transport providers.
- Track shipments and proactively resolve delivery delays or discrepancies.
- Identify and resolve logistics issues to optimize efficiency and reduce costs.
- Prepare and review shipping documents including airway bills, packing lists, commercial invoices, and export declarations.
- Ensure compliance with UAE customs regulation.
- Maintain accurate and up-to-date records of shipments, supplier transactions and logistics.
- Identify opportunities to improve logistics efficiency, cost control, and delivery performance.
- Utilize ERP software to track logistics activities, update records and generate reports.
- Follow all safety protocols and standards while performing daily assignments.
- Complete any additional tasks or special assignments as instructed by the manager, or ad-hoc duties as required.
- Handle confidential information with discretion, ensuring it is stored securely and shared only with authorized personnel.
- Bachelor’s degree/ Diploma in a related field
- Associate degree or relevant certification may be considered with sufficient experience
- Minimum 3–5 years of logistics experience in the UAE, preferably within aerospace, aviation, or technical industries
- Proficiency in MS Office
- Excellent problem-solving skills and attention to details
- Knowledge of international shipping regulations and customs procedures [a plus]
- Strong knowledge of import/export regulations and customs clearance procedures.
