The Asset Management & Inventory Officer is responsible for the accurate recording, tracking, and management of all company assets and inventory throughout their lifecycle, including both fixed assets and general warehouse stock. This role ensures that all assets are properly tagged, documented in the asset management system, and that any movements, additions, or disposals are correctly reflected in the Asset Register and Inventory Records.
To support operational efficiency and financial integrity, the list of assets should be expanded to include all building‑related assets—particularly MEP components—which are essential for managing Annual Maintenance Contracts (AMCs) and not be limited to furniture and IT equipment.
- Tag all physical assets across IFZA facilities (including furniture, property equipment, warehouse stock, MEP and office fixtures) using approved methods
- Maintain accurate records of asset details, locations, custodians, and conditions within the asset management system.
- Accurately input, update, and maintain all asset and inventory data in the asset management system.
- Ensure timely recording of new assets and consumables received and reconcile system records with physical counts and Finance registers.
- Conduct scheduled physical verifications and audits of assets and inventory across all departments and storage areas.
- Identify and investigate discrepancies between physical items and system records, reporting findings to Property and Finance teams.
- Track and document all asset and inventory movements between departments and locations.
- Coordinate authorized relocations, loans, or disposals, ensuring compliance with IFZA's approval and documentation procedures.
- Oversight Support day-to-day warehouse operations, including stock organization, receiving and issuance of items, and maintaining accurate inventory levels.
- Ensure proper labelling, storage, and handling to maintain item condition and traceability.
- Liaise with the Property, Finance, and Operations departments to ensure asset and inventory records reflect accurate cost, depreciation, and disposal data.
- Prepare regular reports on asset status, stock levels, and movement summaries.
- Ensure all asset and inventory management activities align with IFZA's internal policies, audit requirements, and health and safety standards.
- Maintain confidentiality and data accuracy in all asset-related documentation.
- Identify opportunities to streamline asset and inventory management processes.
- Recommend improvements to enhance efficiency, accuracy, and transparency in coordination with the Property and Finance teams.
- 2–4 years of relevant experience in asset management, inventory control, or warehouse operations.
- Proven background in maintaining and reconciling asset registers and inventory databases.
- Experience conducting physical asset verifications and audits across multiple departments or locations.
- Familiarity with asset tagging, movement tracking, and disposal processes in a corporate environment.
- Working knowledge of ERP or asset management systems.
- Proficiency in Microsoft Excel and other MS Office applications.
- Excellent data entry and documentation capabilities.
- Good communication and coordination skills across departments.
- Ability to prioritize tasks, manage time effectively, and meet deadlines.
- Self‑motivated with the ability to work independently and take ownership of assigned responsibilities.
