The Payroll Supervisor is responsible for overseeing the organization’s day-to-day payroll function, ensuring that payroll is processed on time, accurately, and in compliance with Federal, State and Local regulations. This Supervisor role exercises independent judgment on payroll-related matters with accountability and ongoing decision-making responsibilities associated with the work. This role is responsible for training, planning, organizing, reviewing, supervising, and evaluating the work and performance of assigned staff.
Responsibilities- Supervisory Responsibilities:
- Recruits, interviews, hires, and trains new staff in the department.
- Oversees the daily workflow of the payroll function.
- Provides constructive and timely performance evaluations.
- Handles discipline and termination of employees in accordance with company policy.
- Duties/Responsibilities:
- Review, approve, and ensure accurate and timely semi-monthly payroll processing for 1,000+ employees, maintaining strict adherence to internal controls and regulatory requirements.
- Audit payroll transactions for accuracy, including new hires, terminations, pay changes, benefits, garnishments, and tax deductions.
- Manage and resolve payroll-related inquiries with a focus on accuracy, timeliness, and confidentiality, while maintaining detailed documentation to support audit readiness and risk mitigation.
- Evaluate and enhance payroll processes to improve efficiency, reduce errors, and strengthen internal controls.
- Ensure ongoing compliance with federal, state, and local wage and hour laws; monitor regulatory changes and implement necessary updates.
- Oversee ongoing payroll reviews to ensure accuracy, compliance, and timely resolution of discrepancies.
- Recommend and implement updates to payroll software, systems, and procedures to address findings, maintain compliance, and enhance operational accuracy and efficiency.
- Manage payroll system configurations by creating and maintaining earning and deduction codes, PTO plans, and tax accounts.
- Analyze and reconcile various records, reports, earnings, and deductions. Identify discrepancies, investigate root causes, and implement corrective actions.
- Manage semi-monthly calculation of Short-Term Disability benefit.
- Facilitate and keep current Wage and Hour training for Management Team in coordination with Patelco’s policies.
- Partner with Accounting on general ledger administration and reconciliation.
- Lead the planning and execution of year-end payroll activities, including the preparation, reconciliation, and distribution of W-2s and other required tax documents.
- Perform other duties as assigned.
Minimum Qualifications
- Have minimum 4+ years of current experience in Payroll field
- BA/BS degree in Accounting, Human Resources or other related business degrees or commensurate experience required
- Experience working with HRIS and payroll systems (Ulti Pro/UKG preferred)
- Have 2 or more years in business intelligence report writing
- Have advanced computer proficiency in MS Excel, Word, and Window
