Description

The Property Maintenance Associate is responsible for scheduling general maintenance, repair, and upkeep of assigned buildings, grounds, and equipment to ensure all properties remain safe, functional, and visually appealing. This role supports the daily operations of the property management team and assists in addressing service requests, preventive maintenance, and improvement projects.

ESSENTIAL FUNCTIONS

The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.

Performs a variety of clerical duties for the Store Services Department such as greeting visitors, answering incoming calls, relaying messages to staff members, directing visitors/callers to appropriate personnel, providing information and assistance, preparing agendas and calendars, typing letters, memos, filing, distribution, etc.

Maintains various files on stores for construction, maintenance, leasing correspondence, vendors, contractors, etc.

Responds promptly to maintenance requests and work orders as assigned ensuring prompt and timely follow-up.

Communicates repair status and completion timelines on assigned maintenance request with the property management team.

Processes routine maintenance inspections and schedules repairs on building systems, including plumbing, electrical, HVAC, lighting, and structural components.

Tracks, monitors, and analyzes utility usage, including electricity, water, gas, and waste systems.

Collaborates with vendors, landlords, contractors, and tenants to resolve maintenance issues and ensure quality service delivery.

Assists with the preparation and mailing of maintenance notices to landlords, appropriate corporate staff, and Store Managers as necessary.

Reviews and processes invoices and service documentation for accuracy and timely completion of payment.

Processes departmental supply orders assure appropriate inventory levels are maintained.

Performs basic maintenance on departmental office machinery; orders supplies/parts as needed.

Assists with the coordination of construction repairs, maintenance, and leasehold improvements.

Prepares and/or receives a variety of forms, logs, requests, records, reports, spreadsheets, correspondence, and other documents associated with daily responsibilities of this position; reviews, updates, completes, processes, forwards, maintains, and/or takes other action as appropriate.

Operates a personal computer, printer, scanner, calculator, copy and facsimile machines, telephone or other equipment as necessary to complete essential functions, to include the use of word processing, spreadsheet, database, or other system software.

ADDITIONAL FUNCTIONS

Substitutes for co-workers in temporary absence of same.

Performs other related duties as required.

Requirements MINIMUM TRAINING AND QUALIFICATIONS

High School Diploma or GED; one (1) year of general office or clerical experience; or any equivalent combination of education, training, and experience which provides the necessary knowledge, skills, and abilities for this position.
