Ability Matters is seeking a dynamic Administrative Assistant to support our Day Services team. The successful candidate will be responsible for a wide range of administrative tasks, including scheduling management, data analysis, and staff communication. This role will also provide direct services with individuals with developmental disabilities 3 days (20-25 hours) per week. This role requires compassion, organization, patience, and a commitment to inclusivity.

Responsibilities
  • Schedule appointments, meetings, shifts, and maintain calendars for the Day Services team.
  • Conduct routine audits of documentation, utilizing software tools and AI applications.
  • Assist with compiling data for monthly reports and program evaluations.
  • Monitor files for compliance with state, federal, and agency standards.
  • Support scheduling, data entry, and other administrative tasks as assigned.
  • Communicate with program staff to correct documentation or provide follow-up support.
  • Demonstrate strong analytical and problem-solving skills, addressing technological challenges efficiently.
  • Directly engage and provide individualized support with daily living skills, community integration, recreation, and personal goals to individuals with disabilities three days a week.
  • Assist individuals in maintaining a safe and healthy environment.
  • Support individuals in making choices and achieving personal outcomes.
  • Implement person-centered plans and behavior support strategies as applicable.
  • Maintain accurate and timely documentation of services provided.
  • Promote dignity, independence, and inclusion in all interactions.
Requirements
  • Preferred 4-year degree and a minimum of 2 years of relevant experience.
  • Excellent analytical and creative problem-solving abilities.
  • Exceptional written and oral communication skills.
  • Strong interpersonal skills, with an empathetic approach to serving individuals with disabilities.
  • Detail-oriented with the ability to prioritize tasks effectively.
  • Highly self-motivated with the ability to work both independently and collaboratively.
  • A customer service orientation with a focus on supporting families and staff.
