Summary

A Front Office Specialist is trained to act as the first point of contact, setting the tone for a world‑class Total Patient Experience. The employee performs necessary administrative responsibilities to create a smooth check‑in/out experience for patients.

Location
  • Work is primarily performed in a standard office or clinical setting. Travel to other locations may be required to carry out essential duties.
Essential Duties And Responsibilities
  • Embrace and execute our Total Patient Experience by building relationships with all patients while delivering great service and support.
  • Provide exceptional customer service during every patient encounter (in person or via phone).
  • Display a professional attitude, greet patients promptly with a smile, and thank them when they leave.
  • Answer phones (both external and internal); assure prompt, courteous service at all times.
  • Practice urgency at all times with consideration to the patient’s time, as well as doctor’s time and schedule.
  • Double check insurance authorizations to ensure completion and build accurate flow sheets.
  • Check out patients and collect correct payments according to procedures.
  • Manage patient flow in the office and ensure communication to maximize efficiency and customer service.
  • Complete daily reconciliations, close day, and count down cash drawer.
  • Comply with all company policies and procedures, including HIPAA.
  • Perform general office duties and cleaning as assigned by the manager.
Qualifications
  • Previous medical office experience preferred; previous ophthalmic experience strongly preferred.
  • Minimum of 1 year in a position interacting with customers/patients or the equivalent combination of education and experience.
  • Favorable result on background check as required by state.
  • Must be able to provide proof of identity and right to work in the United States.
Education And/Or Experience
  • High school diploma or GED required.
Licenses And Credentials
  • None.
Systems And Technology
  • Proficient in Microsoft Excel, Word, PowerPoint, and Outlook.
Physical Requirements
  • Requires frequent walking (75%), sitting (50%), standing (50%), with regular bending, stooping, and reaching (25–50%). Must be able to lift up to 25 lbs. Strong fine motor skills and full use of hands are essential.
  • Visual and auditory acuity—including color, depth, peripheral vision, and the ability to adjust focus—required 100% of the time.
  • Occasional driving or climbing may also be necessary.
