Payroll Administrator Apprentice - Expenses and Benefits

An exciting opportunity has arisen for a Payroll Administrator Apprentice to join the Expenses and Benefits Team at The Dudley Group NHS Foundation Trust.

Apprenticeship Details
  • Apprenticeship standard – Payroll Administrator, Level 3.
  • Training provider – Smart Training.
  • Fixed‑term contract – 18 months.
  • Salary – National Apprentice wage, £8 per hour; £15,642.90 per year for first 12 months, minimum wage for final 6 months.
  • Candidate qualifications – Maths and English, GCSE grade D or above (grade 3‑9) or equivalent Functional Skills Level 1. Original certificates required.

Successful candidates with a GCSE grade D/3:

  • Age 16‑18: required to complete Functional Skills Level 2.
  • Age 19 or above: strongly recommended to complete Functional Skills Level 2.

Candidates who hold the following qualifications are not eligible:

  • Degree / degree‑level qualification or higher in Payroll or a similar related subject.
  • NVQ/QCF / Apprenticeship Standard Level 3 or higher in Payroll Administrator.

Candidates who have previously started or part‑completed a Payroll Administrator Level 3 Apprenticeship must declare this on their application.

Job Responsibilities

This role supports the accurate and efficient administration of staff expenses and benefits while building essential payroll expertise through a Level 3 Payroll Administrator Apprenticeship. The postholder develops skills in maintaining and inputting data within ESR and related systems, ensuring high standards of accuracy, data integrity, confidentiality, and GDPR compliance. Key duties include:

  • Managing routine queries.
  • Performing basic audit and compliance checks.
  • Verifying documentation.
  • Assisting with salary sacrifice processes such as invoicing and payroll deductions.
  • Communicating with staff, resolving straightforward issues independently, and escalating more complex matters when needed.
  • Contributing to team effectiveness, supporting continuous process improvement, and engaging fully in structured learning, training, and assessments.

Personal responsibilities include maintaining professionalism, adhering to organisational policies, protecting sensitive information, completing mandatory training, and working collaboratively to foster a positive team environment, while developing the knowledge and skills required for a successful career in payroll and financial administration.
