Bee Tax is seeking an Advisor Assistant to support our advisory, accounting, and tax team with administrative, operational, and customer‑service tasks. This role is ideal for someone organized, proactive, bilingual, and eager to grow in a fast‑paced environment.
Key Responsibilities
Client Service
Greet and assist clients in person and by phone.
Provide Spanish–English translations as needed.
Support cross‑selling opportunities and follow‑up calls to clients.
Handle redirected calls and provide solutions or proper routing.
Maintain ongoing follow‑up with your assigned accounting clients.
Administrative & Accounting Support
Prepare client reports and perform simple accounting in Excel.
Create official accounts (withholding, EFTPS, sales tax, etc.).
Register new companies, reinstatements, amendments, dissolutions, and EIN applications.
File annual reports for IRS and State.
Categorize transactions in Quick Books Online (QBO).
Create and manage Tax Dome accounts; maintain CRM information up to date.
Scan, organize, and send client documentation securely (password‑protected).
Monitor and resolve items from the intake form for new accounting clients.
Assist the advisor with any other assigned operational tasks.
Tax Services
Perform data entry for individual tax returns (Form 1040).
Prepare 1099‑NEC / 1099‑MISC forms.
Complete IRS and State powers of attorney (POA).
Process online tax payments on behalf of clients.
Complete ITIN applications (Form W‑7).
Assist with immigration‑related procedures tied to tax or business documentation (when applicable).
Payroll
Complete W‑4 and state tax forms.
Execute payroll cycles and issue corresponding reports.
Basic Legal & Document Support
Draft employment letters, rental agreements, and operating agreements.
Create shipping labels (USPS or other providers) for physical document delivery.
Office Support & Culture
Maintain organization in the workspace.
Participate in office‑wide cleaning and upkeep.
Requirements
Education
High School Diploma or equivalent.
Technical training in administration or customer service (preferred).
Experience
1+ year in administrative work, basic accounting, or customer service.
Technical Skills
Basic proficiency with Microsoft Office and/or Google Workspace.
Basic understanding of tax regulations.
Experience with Quick Books Online (QBO) — certification preferred.
Ability to use AI‑based tools for productivity.
Fluent English and Spanish (written and verbal).

Work Conditions
Schedule: On‑site position.
Reports to: Office Manager and Advisor.
Training Requirements
Individual tax training (within 90 days).
Corporate tax training (within 90 days).
20 hours of annual continued education.
Ability to use individual tax software at a minimum of 70%.
Proper use of AI tools for workflow optimization.
