We are seeking a dedicated Scheduling Lead to manage the daily operations of our scheduling department. This role is responsible for executing all core scheduling tasks while also providing leadership and support to a team of schedulers. The Scheduling Lead plays a critical role in ensuring patient appointments are scheduled accurately and efficiently, contributing to a seamless patient experience. Dutiesand Responsibilities
- Supervise, support, and assign duties to the scheduling team.
- Ensure accuracy and consistency in daily provider schedules across all PMC locations.
- Handle escalated patient inquiries via phone, portal, or email with professionalism and empathy.
- Assist with hiring, onboarding, and ongoing training of scheduling staff.
- Monitor team performance and provide coaching, feedback, and performance evaluations.
- Communicate protocol and procedural updates across departments.
- Act as the primary point of contact for scheduling-related issues, including coordination with IT and phone vendors during service disruptions.
- Prepare and analyze scheduling reports to assist in staffing and operational decisions.
- Enforce attendance policies and approve time-off requests.
- Travel to other office locations as needed.
- Ideal candidates will have 1–3 years of experience leading or supervising a medical scheduling team. Strong customer service background required.
- High School Diploma or equivalent (required).
- Strong communication and leadership abilities.
- Proficient in Google Suite (Docs and Sheets).
- Experience with Athena Health EHR is preferred or other similar EHR systems such as Epic, or eClinical
Works. - Ability to manage multiple tasks in a fast-paced environment.
- Calm, compassionate, and solution-focused under pressure.
- Knowledge of HIPAA compliance and patient confidentiality practices.
- Excellent problem solving, leadership, and customer service skills.
