Position: Administrative Coordinator (Part Time)

Administrative Coordinator (Part Time)

MSA Professional Services is seeking an on‑site Administrative Coordinator to support technical professionals with a variety of administrative tasks, including word processing, event planning, and office organization. Work hours are from 10:00 am to 3:00 pm Monday through Friday, with occasional flexibility for events or new‑employee onboarding.

What you will do
  • Assist engineers, team leaders, IT and marketing as the main point of contact for the office
  • Maintain and meet project deadlines
  • Develop and maintain office procedures to keep the office running smoothly
  • Create, proofread and format engineering‑related documents such as reports, letters and proposals
  • Scan, copy, print and file documents, including contracts and proposals
  • Answer all incoming phone calls, greet and assist walk‑in clients and guests
  • Handle incoming and outgoing mail and packages
  • Manage and order supplies for the office and break room
  • Schedule appointments and manage meeting schedules, including ordering lunch when needed and planning office social events
  • Schedule repairs for general office space, equipment and maintenance, and coordinate with vendors and the suite landlord
  • Assist with workstation setup, maintain IT asset inventory and onboard new hires
  • Workshare with other administrative coordinators to allow schedule flexibility and contribute to projects across all offices
  • Collaborate with fellow administrative coordinators to diversify projects across all offices as part of a unified team, promoting flexibility and opportunities to contribute
What you bring
  • Associate’s degree or higher in Office Administration or a related field (preferred)
  • Prior administrative office experience (preferred)
  • Advanced knowledge of Microsoft Office and Outlook (required)
  • Experience with Microsoft Teams (preferred)
  • Experience in construction, engineering, environmental and/or architecture fields (ideal)
  • Experience with FTP websites and/or ERP database (plus)
  • Experience with PDF editor (preferred)
  • Valid driver’s license and personal vehicle required for routine office errands (mileage is compensated)
  • Ability to prioritize multiple tasks, detail‑oriented, self‑motivated, and strong verbal and written communication skills

The hourly wage ranges from $18.80 to $30.20 per hour, commensurate with experience. Compensation is higher within this range for candidates with significant experience and exceptional qualifications.
