E -- Excellence in Relationships: Trust and teamwork with customers, coworkers, and community
R -- Respect through Gratitude: We appreciate one another and honor the trust customers place in us
Why this role mattersWe currently have 24 employees across 2 locations, and we're intentionally scaling: our goal is to grow both locations 3x over the next 3 years.
To do that, we need a proven, hands‑on leader who can bring order and consistency to three key pain points:
- AP / billing
- Receivables / cash discipline
- Employee management systems (hiring, onboarding, documentation, consistency)
This is a high‑trust role. You'll be relied on to keep the financial engine clean and steady, and to help leadership build people processes that scale.
Work Location, Hours, and ToolsLocation: Duluth, MN office (on‑site)
Hours: 40-50 hours/week (some weeks heavier around payroll, month‑end close, and peak hiring pushes)
Tools you'll use: Job Nimbus, Quick Books Online + Quick Books Payroll, Basecamp
What you'll do- Own bill intake, coding, and approval workflow
- Run consistent weekly payment cycles and reduce "invoice chasing"
- Maintain clean vendor files and statement matching
- Own customer invoicing, payment posting, and deposit tracking
- Drive consistent AR follow‑up and reporting (so cash doesn't drift)
- Provide a weekly snapshot: cash position, AR aging, payables due, and upcoming payroll obligations
Reconciliations & Month-End Rhythm
- Weekly bank/credit card reconciliations (kept current--no backlog)
- Month‑end close checklist support and clean financial reporting
- Monthly reporting for ownership: P&L, cash summary, AR/AP aging, and key trends
Systems & Workflow Improvement
- Keep Job Nimbus and QBO aligned with strong job/customer setup discipline and clean documentation flow
- Use Basecamp to manage deadlines, approvals, and process visibility
Hiring & Onboarding
- Coordinate postings, screening, interview logistics, offers, and start dates
- Build consistent onboarding across both locations (paperwork, policies, checklists, first‑week readiness)
- Implement practical 30/60/90‑day onboarding checkpoints for key roles
Employee Management & HR Process Consistency
- Maintain employee files and documentation (organized, complete, audit‑ready)
- Support leadership with employee conversations, documentation, and consistency in expectations
- Improve everyday employee management systems so leaders aren't constantly "reinventing the wheel"
Benefits Administration
- Serve as the point person for benefit questions and enrollment changes
- Coordinate annual benefit administration and employee communications
- AP is predictable: fewer vendor issues, clean coding, consistent payment cycles
- AR is tighter: deposits tracked cleanly, fewer past‑due accounts, better cash visibility
Payroll runs clean with minimal corrections - Onboarding is…
