About the Job
This position uses a computerized maintenance management system (MMS) to develop, implement, manage, maintain, and update work orders, equipment files, parts inventory, labor resources, maintenance budgets, and preventive maintenance procedures. This position is responsible for planning, scheduling, and monitoring maintenance and project work for Plumbing, Ventilation, Mechanical, and Heating Plant Crews. This position will monitor and report on budget progress for maintenance and project activities.
This position is the primary contact for coordinating work with campus customers and multiple outside vendors.
Essential Functions:
- Develop, implement, manage, maintain, and update Tririga maintenance management system for work tasks, equipment files, parts management, preventive maintenance, and purchasing for assigned crews. Complete work tasks in the MMS system including adding PCR codes and notes as required. Create equipment notes to attach to asset records. Create child work tasks for contractors and crews, as needed. Research, develop, and maintain parts information to support quick repairs, inventory stock, and purchasing activities.
Maintain equipment attributes information for all equipment and apply labels with equipment numbers. Schedule and monitor code required tasks for backflow prev enters, emergency showers, fire systems, and others as required. - Act as Lead Planner for Tririga O&M work group, including coordinating with Minneapolis support group, attending planning meetings, compiling necessary data, and pushing information or changes out to other Planners.
- Act as Lead Planner for Tririga PM work group, including building Job Plans, assisting other Planners with training, attending planning meeting with Minneapolis support staff, pushing information or changes out to other Planners.

- Plan, schedule, distribute, and monitor daily work tasks. Develop scope of work, assist with project estimates, coordinate work with other trades, and prepare material requisitions. Plan, schedule, and monitor assigned project work including attending construction meetings, providing input to architects and engineers, documenting work progress, and reporting on project status. Assist Supervisor with layout and design of assigned projects. Act as primary contact with University customers and work with customers to plan, schedule, and complete work tasks.
Monitor and report on budget progress for customer projects. Work with crew leads to review backlogs, schedule resources, and distribute work tasks. Meet with Supervisors to develop priorities and review backlogs. - Back-up other Planners during absences. Monitor their new work backlog and issue tasks to their crews. Order parts and enter time for their crews, as needed. Respond to Customer Service requests, crew issues, and campus concerns for these additional crews.

- Coordinate, schedule, plan, and monitor work done by outside contractors for both maintenance and project related services. Act as University primary contact for contractors, including sewer cleaning, core drilling, sheet metal work, HVAC balancing, insulation, fabrication, boiler and pressure vessel inspections, fire sprinklers, and others as needed. Issue requisitions for materials and services with outside vendors and schedule materials deliveries to campus.
Work with vendors to update and maintain inventories. Negotiate pricing and delivery with vendors and provide input on vendor contracts. - Act as temporary crew Supervisor when O&M Supervisor is absent. Distribute work to crews, support operations, answer trouble calls, coordinate with other campus groups, and respond to employee issues.

- Act as a training resource for the Tririga system for crews, customers, and contractors. Generate reports, as requested for crew metrics. Attend and participate in Department meetings for planning and scheduling activities. Organize and manage maintenance and operations manuals for all equipment. Schedule all required training sessions for assigned crews. Work with Engineering Services to update and maintain utility drawings. Locate and distribute appropriate drawings for crew needs.
- Act as the Lead Planner for training other Planners in work flow, daily routine, schedule management, customer contact, and crew coordination. Train other Planners in all aspects of the Tririga system. Assist with building preventive maintenance procedures, equipment labeling, work order processing, issuing purchase orders, maintaining parts inventory, issuing parts, entering crew labor, and other daily activities.

- Apply for required permits for all crew work. Act as contact for questions and concerns from code inspectors. Provide input to ensure work meets all applicable codes and regulations. Assist Supervisor with training and enforcement of safety policies and regulations.
