Location: Central Belt, Dundee or Inverness (hybrid role between home and various face‑to‑face events across Scotland)

Hours: 21 hours per week (typically between Monday - Friday)

Salary: £25,433 FTE (pro‑rated for part‑time) per annum

Are you passionate about making a difference in your community? Could you provide a high level of administrative and office support to the Safe Mates Scotland (Cashback for Communities) programme?

We have a fantastic opportunity for an ambitious and well‑organised individual with administrative skills to provide us with administrative support. You’ll be working in a programme that is directly supported by Cash Back for Communities funding. In this varied role you'll be providing support to the Safe Mates Scotland Manager and the wider team.

A day in the life of our Programme Assistant – Safe Mates Scotland

Everyday you’ll be central to the smooth running of our Safe Mates Scotland (Cashback for Communities) programme. Your day will include:

  • Programme Support: Administratively supporting the Manager and team. Organising logistics, venues, travel and event communications. Updating and maintaining accurate records of attendance and programme engagement.
  • Monitoring, Evaluation & Reporting: Collection, processing, and organisation of evaluation data. Maintaining project databases and tracking tools to demonstrate outcomes. Assisting with internal reporting, funder reports, and secure document storage.
  • Financial & Administrative Processes: Managing financial administration by processing expenses, invoices, and programme spending. Maintaining compliant financial records while overseeing the ordering and stock of materials.
  • Communications & Engagement Support: Drafting content to promote the Safe Mates programme and its opportunities both internally and externally. Liaising closely with delivery staff, volunteers, and partners to ensure smooth activity coordination.
To be a successful Programme Assistant you’ll need:
  • Proven administration experience, including administering financial processes, knowledge of databases and an ability to analyse information.
  • Ability to work independently, with minimum supervision, but also as part of a wider team.
  • Strong interpersonal and communication skills.
  • Excellent organisational skills. The ability to meet deadlines and manage multiple priorities effectively.
  • Proficiency and confidence in using multiple IT applications (MS Office and other bespoke systems).
  • Experience supporting monitoring and evaluation, including reporting on projects.
