Administrative Analyst/Specialist II - Exempt RESPONSIBILITIES & DUTIES:
Intake, Investigative Reports, and Case Management
  • Oversee and manage intake and case processing for assigned Title IX and DHR matters.
  • Review reports and complaints to assess jurisdiction, policy applicability, and appropriate response.
  • Conduct intake interviews to clarify and document allegations involving discrimination, harassment, sexual misconduct, and retaliation.
  • Screen reports for immediate safety concerns and coordinate appropriate supportive or interim measures.
  • Coordinate implementation of supportive and interim measures with appropriate campus offices.
  • Oversee and process pregnancy adjustments and modifications for students, track forms, and provide accommodation emails as needed. Including updating website information and supplying lactation rooms. Which ensures compliance of system-wide, state-wide, and federal mandates and commitments.
  • Prepare notices, and related case documentation.
  • Ensure timely communication with involved parties regarding procedural steps, rights, and case updates.
Compliance & Policy Implementation
  • Carry out assigned Case Management and Education Specialist responsibilities in support of the Executive Director of Title IX & Inclusion/Title IX Coordinator to ensure continuity of Equity Programs and Compliance operations.
  • Responsible for supporting the administration of the University’s Title IX and DHR programs; managing reports and complaints involving discrimination, harassment, sexual misconduct, and retaliation; ensuring prompt, equitable, and trauma-informed response processes; maintaining accurate documentation and required reporting; coordinating training and outreach initiatives; and serving as a campus resource on civil rights policies, procedures, and regulatory requirements.
  • Interpret and apply CSU Executive Orders and applicable federal and state civil rights laws related to Title IX and Discrimination, Harassment, and Retaliation (DHR).
  • Implement established policies and procedures to ensure consistent and compliant case processing.
  • Assist in maintaining and updating internal procedures to support operational effectiveness and regulatory compliance.
  • Remain current on evolving legal and regulatory requirements and apply updates to assigned work.
Case Coordination & Operational Support
  • Lead multidisciplinary team (MDT) meetings, including presenting case updates, identifying compliance considerations, and coordinating cross-functional responses to support timely, equitable, and policy-aligned case management.
  • Serve as the Hearing Coordinator/Tech Coordinator for Track 1 & 2 Hearings (State/Federal Hearings).
  • Prepares invoices, sets up purchase orders and other financial documents. Working knowledge of budget policies and procedures to establish vendors and process payments. Submits reimbursement forms.
  • Under the direction of the Executive Director of Title IX & Inclusion/Title IX Coordinator, provide outreach and follow-up to incoming reports, including auditing case file and complying to deadlines provided in the CSU Nondiscrimination Policy and internal departmental protocols.
  • Monitor case progress to ensure compliance with procedural requirements and established timelines.
  • Administer or support mandated Title IX training assignments and related tracking functions.
  • Assist with data collection and reporting related to compliance obligations.
  • Provide backup support for related compliance functions, including Clery-related coordination or other regulatory requirements, as assigned.
Campus Training, Prevention & Education
  • Lead and coordinate prevention and intervention education efforts related to Title IX and Discrimination, Harassment, and Retaliation (DHR), ensuring alignment with CSU Nondiscrimination Policy, Title IX, VAWA, and Clery Act requirements.
