Role profile

We are looking for an experienced and motivated Project Officer to support the delivery of V&A Dundee’s 2028 Capital Project.

The Project Officer will be responsible for supporting the project team in planning, monitoring and delivering the project, ensuring that it meets its objectives, and is completed on time and to budget. The successful candidate will have proven organisational skills, with the ability to manage multiple tasks and priorities simultaneously; strong administrative experience, including meeting management and minute-taking; and strong communication skills, both written and verbal, with the ability to effectively and confidently communicate with stakeholders at all levels of the organisation.

Duties

and Responsibilities Project Management
  • Coordinate the collation and efficient delivery of collections and content information from the project team to external design teams, consultants and contractors across all aspects of the project, including graphics, showcases, setworks, lighting and AV.
  • Assist the Capital Project Manager by contributing to regular reporting systems including financial reporting, monthly project reports and change control documentation.
  • Work with the Capital Project Manager to host regular Project Team Meetings with teams across the organisation.
  • Assist the Capital Project Manager by setting up meetings, booking meeting rooms and taking minutes.
  • Organise and maintain all official documents, ensuring accuracy and compliance with the Museum's Records Management Policy and GDPR.
  • Assist the Capital Project Manager to raise purchase orders and process invoices.
  • Work as an integral member of the gallery installation team, collaborating with a group of technicians to install objects appropriately and to schedule, working with couriers, and escalating problems as they arise.
  • Work cross-organisationally to support the timely delivery of the project, liaising with Operations, Audiences & Media, Philanthropy & Partnerships and the wider Programme team to secure a smooth flow of information.
  • Ensure high standards of accessibility are met by both the content and design of the galleries and Visitor experience spaces, by liaising with internal and external stakeholders, in particular access consultants and advisory boards.
  • Support the Capital Project Manager in project archiving and handover to operational teams.
Curatorial
  • Create and maintain accurate object lists and lender trackers.
  • Lead on asset research, management and procurement for the gallery and gallery publication, including negotiating licence fees with image libraries.
  • Support the Senior Curators and Curator on discrete areas of research to develop curatorial concepts and narratives, making recommendations of objects and image selection.
  • Contribute to the development of the interpretation plan, text hierarchy and key messages.
  • Compile information and work with the curators to write and edit gallery text.
  • Liaise and negotiate with lenders, artists, designers and their representatives, design organisations, institutional and academic partners, stakeholders, and funders. Lead on some relationship management as appropriate.
