Job Summary
The Medical Clinic Office Manager oversees the daily administrative and operational functions of the clinic to ensure efficient workflows, high-quality patient service, and compliance with healthcare regulations. This role manages staff, coordinates clinic operations, and supports providers in delivering exceptional patient care.
Reports To:
Director, Outpatient Services
Salary Range: $53,800 - $89,750 (salary range is intentionally broad as pay will be determined based on qualifications, experience and eligibility for bonuses)
Essential Job Functions- Manage day-to-day clinic operations, including scheduling, staffing, and patient flow
- Supervise administrative and clinical support staff, including hiring, training, and performance management
- Assist with billing, coding, insurance verification, and revenue cycle processes
- Ensure compliance with HIPAA, OSHA, and other healthcare regulations
- Develop and implement office policies, procedures, and workflow improvements
- Monitor clinic budgets, expenses, and operational performance metrics
- Serve as a point of contact for patient concerns, resolving issues professionally and efficiently
- Coordinate with providers to support clinical operations and patient care delivery
- Manage vendor relationships, contracts, and medical office supplies
- Prepare reports for leadership on clinic performance and staffing
- Support quality improvement and patient satisfaction initiatives
- Assist with accreditation, audits, and inspections
- Participate in leadership meetings and organizational planning
- Perform other duties as assigned
- High school diploma or equivalent required
- Associate’s or Bachelor’s degree in healthcare administration, business administration, or a related field preferred
- 3–5 years of experience in a medical office or healthcare setting
- Prior supervisory or management experience required
- Experience with EHR systems, medical billing, and insurance processes preferred
- Ability to sit or stand for extended periods
- Ability to use computers, phones, and standard office equipment
- Occasional lifting of up to 25 pounds
- Ability to multitask and work in a fast-paced clinical environment
Environmental hazards such as chemicals, solvents, needles, needle containers, sharps, blood, body fluids, various infectious/communicable diseases, infectious medical waste, radiation, and/or radioactive materials and/or radioactive waste, proximity to moving mechanical parts. Protective clothing/equipment may be necessary.
ASH IMMUNIZATIONS AND VACCINATIONS REQUIREMENTS – Aligns with CDC’s Advisory Committee on Immunization Practices (ACIP) for Healthcare Personnel- Hepatitis B
- Lab evidence of immunity (titer) to Hepatitis B or three doses Hep B vaccine at appropriate intervals - Influenza- documentation of current seasonal flu vaccine (mandatory from November 1st through March 31st each year)
- Measles, Mumps, and Rubella - Lab evidence of immunity (titer) to Measles, Mumps, and Rubella or 2 doses of MMR Vaccination
- Varicella (chickenpox) - Lab evidence of immunity (titer) to Varicella or 2 doses of Varicella Vaccine
- Tetanus, diphtheria, pertussis (Tdap) - documented proof of immunization
- Tuberculosis Screening
-Documentation of a two-step TB skin test within the past year OR lab verification of a negative TB Gold or T-Spot tuberculin test within the past 6 months
