Position: Administrative Assistant for Nursing and Allied Health

Salary $27,418

Summary

The Administrative Assistant cooperates with and assists the Nursing and Allied Health Program Director in the daily administration of the Nursing and Allied Health programs. Responsibilities include, but are not limited to, assisting current students, applicants, and overseeing the day-to-day functioning of the Nursing and Allied Health Office. The Administrative Assistant supervises the keeping of student and alumni records, and maintains strict confidentiality as required with this information.

Duties And Responsibilities
  • Assist and advise current students and applicants with all aspects of their participation in the Nursing and Allied Health Program.
  • Collaborate with Program Director on planning and executing short- and long-range goals for the Program.
  • In coordination with Alumni Relations Office, build and maintain the Nursing and Allied Health Alumni Network.
  • Collaborate with the Director and other campus constituencies in researching and preparing grant applications.
  • Oversee application process for prospective students.
  • Oversee production of promotional materials, including the program website and social media presence.
  • Oversee planning of Nursing and Allied Health events, including recruitment, advising, and activities for applicants, students, and alumni.
  • Prepare periodic reports on program activities and status; assist with program assessment and record-keeping.
  • Coordinate records and paperwork related to any scholarships, including cooperating with the University Scholarship Office and Southern Foundation.
  • Manage the day-to-day operations of the Nursing and Allied Health Department, including but not limited to supervising office operations, overseeing student records, employee transaction forms, and administering expenditures and budget.
  • Manage all purchasing, travel claims, and budgets for the department.
  • Serve as a receptionist for the Nursing and Allied Health Programs.
  • Manage, train, and maintain paperwork for student employees.
  • Other duties as assigned by the Director of Nursing and Allied Health.

  • Safety:
    Employee works safely, attends safety training offered/required, and follows appropriate safety rules and regulations. In relation to level of NIMs training completed, participates in incident management preparation, and performs incident duties as assigned.
Required

Minimum Education , Training, and Experience
  • Bachelor's degree or professional equivalent experience.
  • High degree of attention to detail.
  • Knowledge of university organizational and supervisory practices.
  • Excellent skills in both verbal and written communication.
  • Flexible schedule to attend and supervise events outside of the regular workday hours, including occasional overnight travel.
  • Excellent computer skills.
  • Ability to manage multiple tasks.
  • Ability to carry 10-15 pounds (for transporting equipment and supplies to events).
Preferred
  • Master's degree.
  • Experience in higher education/or public relations.
  • Advising experience.
  • Knowledge of budgeting and accounting principles.
  • Experience in Alumni Relations or related fields.
