Office Administrator/ Coordinator, Data Entry
The Project Technician will work directly with Project Managers, Design Managers, and other Project Technicians to assist in purchasing, scheduling, administration, and management of all phases of construction and design projects.
Responsibilities- May assist in training newly hired jobsite clerks and other construction technicians.
- Answers phone calls, screening when necessary. Detailed messages taken if managers or supervisors are unavailable.
- Maintains filing systems as assigned.
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
- Coordinates and schedules travel, meetings, and appointments for managers or supervisors. This may include ordering and picking up food for in-house meetings.
- Prepares agendas and schedules for meetings.
- Records and distributes minutes or other records for meetings.
- Responds to changing requirements on a timely basis and alter activities to meet demand of new situations.
- Manages communication of information in and out of the office; type correspondence letters, emails, memos, etc.; prepare outgoing mail and packages for managers or supervisors.
- Assists with preparing project cost budgets.
- Assists with preparation of subcontracts and purchase orders, including verifying required documentation for all vendors.
- Maintains tracking logs for shop drawings and submittals from subcontractors and vendors.
- Performs other related duties as assigned.
Education and Experience
- High school diploma or GED equivalent required.
- 2+ years’ experience as an administrative assistant.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Proficient in Microsoft Office Suite or related software.
- Excellent organizational skills and attention to detail.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Ability to prioritize given tasks and work efficiently towards completing.
- Ability to work independently.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
