Programme Delivery Administrator

Location:

Ealing / Hybrid

Salary: £31,490 - £33,000

Contract Type:
Fixed Term Contract – 12 months.

Hours:

35 hours per week – Monday to Friday

About the Role

We are looking for a highly organized and proactive Programme Delivery Administrator to join our Asset Management directorate. This is a key role supporting our investment team in delivering planned and cyclical improvement programmes across a portfolio of approximately 37,000 homes. You will act as a central point of coordination, ensuring administrative processes run smoothly while maintaining excellent communication with colleagues, contractors, residents, and external stakeholders.

Key Responsibilities
  • Provide comprehensive administrative support to the Investment team, including document collation, maintaining spreadsheets, and scheduling meetings.
  • Manage team inboxes, triage enquiries, and allocate tasks efficiently.
  • Respond to customer and stakeholder enquiries via phone and email.
  • Monitor and track open cases, liaising with surveyors and contractors to ensure progress and escalating issues where necessary.
  • Arrange appointments and provide updates to customers and external stakeholders.
  • Raise and manage purchase orders, working closely with Finance and Procurement teams.
  • Prepare and manage address lists for planned programmes.
  • Liaise with Leasehold teams to ensure accurate leasehold and Section 20 consultation information.
  • Coordinate communications with contractors and residents, including consultation processes and query responses.
  • Issue and collate post‑completion satisfaction surveys and support analysis of feedback.
  • Organise meetings, take minutes, and track actions.
  • Provide wider administrative support across the Assets department as required.
More About You
  • GCSEs (or equivalent) in Maths and English (Grade A*–C / 4–9)
  • Highly organized with the ability to manage multiple priorities in a fast‑paced environment.
  • Confident and customer‑focused approach.
  • Experience working in a customer‑focused environment within Housing or Property Management.
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook).
  • Excellent written and verbal communication skills.
  • Ability to work collaboratively to achieve team and organisational goals.
  • Strong relationship‑building skills with a wide range of stakeholders.
  • Resilient, maintaining focus and professionalism under pressure.
  • Performance‑focused, consistently delivering high‑quality work.
