We’re seeking a detail-oriented and proactive Legal Administrative Assistant to join our in‑house paralegal team. This role provides broad legal and administrative support to the Legal Department, assisting with corporate housekeeping, filings, documentation, scheduling, and other operational needs. The position involves handling sensitive and confidential information with professionalism and discretion while collaborating across multiple business lines and offices. The ideal candidate thrives in a dynamic environment, demonstrates strong organizational skills, and enjoys supporting a fast‑paced, team-oriented department.
Responsibilities- Prepare, submit, and track a variety of legal filings using multiple platforms and filing systems (including hard copy, electronic databases, and internal document management systems).
- Review, process, and manage a high volume of legal and vendor invoices; resolve billing issues and track unpaid or disputed invoices.
- Maintain spreadsheets, entity records, document logs, and other data repositories.
- Assist with corporate housekeeping activities, including maintaining corporate books, files, and board materials.
- Provide support for Board meetings, including preparing and maintaining minutes and resolutions.
- Coordinate communications and requests between internal teams and external partners, vendors, and law firms.
- Manage incoming and outgoing mail, packages, and certified correspondence (USPS, Fed Ex, UPS).
- Facilitate document execution through Docu Sign, including large or multi-signatory agreements.
- Assist with timekeeping, expense reports, calendar management, and meeting coordination for legal team members.
- Support travel, conference, and seminar arrangements as needed.
- Participate in ad hoc projects for Legal and Compliance teams.
- Provide general administrative support to attorneys and paralegals.

Qualifications- Bachelor’s degree preferred.
- Paralegal Certificate from an ABA‑accredited program (or working toward certification) preferred.
- Minimum of two years of experience in a legal administrative or paralegal support role—law firm or in‑house legal department experience required; exposure to corporate or M&A legal work preferred.
- Strong proficiency in Microsoft Office Suite.
- Experience with SharePoint, Adobe Acrobat, Docu Sign, and/or document management systems (e.g., Lexion) a plus.
- Excellent organizational and time management skills with a strong attention to detail.
- Demonstrated ability to handle confidential information with integrity and professionalism.
- Effective communication and interpersonal skills across all levels of the organization.
- Self‑motivated with the ability to work independently and manage multiple priorities.
- Dependable, punctual, and adaptable to changing business needs.
