Business Administration, Office Administrator/ Coordinator
You will be responsible for graciously greeting community visitors, addressing the questions or concerns of prospective or current residents and families, and providing support to sales and marketing and the business office. Pays attention to details and uses creativity to create positive experiences with current and prospective residents by managing the lobby experience for all visitors.
Essential FunctionsProactively assists residents, families, visitors, and team members with questions or problems resulting in a positive experience; greet all visitors and answer incoming calls in a professional and respectful manner.
Monitors entry area for visitors and guests, greets, and directs as necessary, answers incoming telephone calls and resident calls, forwards and takes messages, receives and sends packages for residents, assists with residents who request assistance with mailing letters and packages. Manages the lobby; monitors and ensures desk and lobby are clean and neat; creates a comfortable, inviting area; assists the Director of Resident Engagement and/or others as necessary in promoting programming with residents in the lobby.
Sales & Marketing manages the inquiry process, connecting the caller or visiting customer to the appropriate inquiry team member; responds to inquiries and/or tours when Director of Sales and Marketing, Executive Director and other Directors are not available; facilitates experiences/tours of community as needed; knowledgeable and assists in supporting the marketing standards of the community; assists with duties related to the Lead Management Program;
assists with assembling marketing packets as needed.
Business Office: assists in processing new resident documentation; assists in maintenance of resident files and documentation while maintaining confidentiality.
Promotes and encourages residents to participate in programming.
Follows and communicates company policies and procedures.
