Position SummaryPosition:
Office Assistant - Kew Gardens - Neurosurgery. The successful candidate will provide basic front-desk support for clinical intake operations and may handle pre-authorizations and certifications (with the exception of surgical procedures).
- Performs other duties as assigned.
- Provides reception support: greet patients, answer calls, direct requests to the proper individual, screen telephone callers professionally, take messages, and schedule routine appointments and follow-ups that do not require or have already been pre-authorized.
- Refer inquiries regarding pre-authorizations/certifications to the appropriate person. Collect and complete patient-related documents. Assist patients in enrolling in Patient Secure if necessary. Confirm daily patient appointments with appropriate notations in the system and maintain the schedule to prevent gaps.
- Handle patient check-in and check-out. Gather demographic data and insurance information, verify eligibility electronically, capture photos, and encourage use of Patient Secure. On subsequent visits, verify and update demographic information as needed and obtain signatures on patient-related documents (e.g., HIPAA, MSPQ, ABN).
- Follow up with patients/representatives and physician offices to gather missing data to complete the intake process or escalate to a more senior staff member as needed.
- Collect co-pays and other balances; scan necessary documents into the intake system; monitor the intake work queue for timely completion.
- May handle pre-authorizations and certifications (excluding surgical procedures), ensuring appropriate procedure and diagnosis coding and querying physicians to ensure accuracy and completeness.
- Assist patients with questions about insurance coverage and refer financial matters to the appropriate office when guidance is needed (e.g., denial of eligibility, ABN questions, payor restrictions, or other financial concerns).
- Maintain professional relationships with physicians, nurses, and office/clinical staff. Type routine materials neatly and according to instructions. Answer questions to support patient understanding and satisfaction while maintaining confidentiality.
- Maintain and organize files, process documents, obtain necessary signatures, and route materials following departmental procedures. Manage supply levels and notify supervisors of shortages. May provide guidance or training to staff on intake duties.
High School diploma or equivalent. Excellent organizational, interpersonal, and verbal/written communication skills. Strong customer service skills with the ability to multitask in a team environment. Knowledge of Microsoft Office, database and internet applications. Light, accurate keyboarding skills.
Preferred Qualifications6 months physician practice office experience. Knowledge of medical terminology and EPIC Ambulatory.
Qualified candidates must be able to communicate effectively with all levels of the organization.

Salary information:
The salary range for this role is $54,164.99 - $54,165.00 annually. Actual salaries depend on factors including experience, specialty, education, and hospital need.
