Position Summary

We have an exciting opportunity to join our team as an Office Assistant - EPIC - East Patchogue. In this role, the successful candidate provides basic front-desk support for clinical intake operations and may be responsible for pre-authorizations and certifications, with the exception of surgical procedures.

Job Responsibilities
  • Provides reception assistance: greet patients, answer calls, direct inquiries to the appropriate person, and screen callers in a professional manner.
  • Schedules routine appointments and follow-ups for visits and procedures that do not require or have already been pre-authorized; refers inquiries regarding pre-authorizations/certifications to the appropriate person.
  • Collects and completes patient-related documents; assists patients with enrollment in Patient Secure if necessary; confirms patient appointments daily and notes information in the system; maintains the schedule to avoid gaps.
  • Handles patient check-in and check-out; gathers demographic data; verifies insurance information and eligibility; collects signatures on patient-related documents (e.g., HIPAA, MSPQ, ABN) and follows up to obtain missing data as needed.
  • Collects co-pays and other balances; scans necessary documents into the intake system; monitors intake work queue for timely completion.
  • May be responsible for pre-authorizations and certifications; ensures appropriate procedure and diagnosis coding and asks physicians questions as needed for accuracy.
  • Answers questions regarding insurance coverage and refers financial matters to the appropriate office when guidance is needed.
  • Maintains professional relationships with physicians, nurses, and office staff; types routine forms and letters neatly and accurately.
  • Responds to patient questions or refers them to more senior staff; maintains confidentiality of privileged information.
  • Maintains and organizes files; completes filing per procedures; distributes materials; logs documents with respect to time and data; processes incoming and outgoing documents; secures necessary signatures and preserves copies for records; assists with faxing and restocking supplies as needed.
  • May assist, guide, and/or train staff with intake-related duties.
Minimum Qualifications

High school diploma or equivalent. Excellent organizational, interpersonal, verbal and written communication skills; strong customer service and multi-tasking abilities in a team environment. Knowledge of Microsoft Office, database and internet applications. Light, accurate keyboarding skills.

Preferred Qualifications

6 months physician practice office experience. Knowledge of medical terminology. Knowledge of EPIC Ambulatory.

Salary Range:
The salary range for this role is $54,164.99 - $54,165.00 annually. Actual salary depends on factors including experience, specialty, education, and hospital need. The stated range does not include bonuses, differential pay, or other compensation.
