As a Digital Health Records Team Leader you will play a vital role in supporting the management and flow of Digital Health Records, providing outstanding service to all speciality department’s and patients. The successful candidate would need excellent administration and communication skills, NHS Leadership Skills and experience and the ability to remain calm in an extremely busy office environment. A good working knowledge of Digital Systems is desirable, but a flexible approach set against a fast moving environment is essential.
Responsibilities- Provide a high quality and efficient administrative service in the busy and demanding environment of Digital Health Records and Clinic Preparation.
- Communicate with all levels of personnel internally and externally from the Trust and develop effective working relationships.
- Demonstrate previous supervisory / management experience.
- Eager to learn new skills and adapt to change in a busy, challenging but rewarding environment.
- Work autonomously and within a team, prioritising and organising workloads to meet deadlines.
- Lead and work collaboratively with the team to ensure a professional health records service is delivered to the clinical teams.
- Involve, adopt and raise awareness of emerging technologies.
- Manage the workload for the team, ensuring the effective delivery of digitised Health records for hospital admissions and outpatient appointments.
- Encourage and introduce new ways of working, whilst maintaining operational service delivery.
- Provide support and leadership to the teams, including sickness management and performance monitoring.
- Deliver an effective and efficient service, providing cover when necessary across the service.
- Good level of general education including GCSE Maths and English.
- Management qualification NVQ4 diploma or proven equivalent experience.
- Evidence of continuing education and professional development to degree level or equivalent experience including customer care and complaint management, DATIX reporting.
- Previous experience of working at supervisory/team leader level in medical records/NHS administration or similar environment.
- Experience and understanding of a PAS system.
- Experience and thorough working knowledge of Health Record Tracking systems.
- Experience working to tight deadlines and prioritising workload.
- Experience working in a multidisciplinary team.
- Experience dealing with complaints and managing conflict.
- Previous line management experience including carrying out staff appraisals, managing sickness and absence etc.
- Experience of effective use of allocated resources.
- Knowledge of health records management to NVQ5 / IHRIM equivalent level.
- ECDL or alternative IT qualification.
- Experience developing and implementing guidelines and policy and procedure.
- Previous experience of training staff both formal and informal.
- Managing rotas for groups of staff.
- Experience of an Electronic Document Management (EDM) System.
- Knowledge and experience of using Trust IT systems e.g. Oasis PAS, iFIT, E-Searcher, Healthroster, Integra.
- Knowledge and understanding of confidentiality issues.
- Working knowledge of information governance issues and Datix reporting.
- Excellent communication skills both written and verbal including the ability to communicate effectively with a broad range of colleagues – both clinical and non‑clinical including external stakeholders.
