Position OverviewAs Payroll Specialist at Arcserve, you will play a critical role in executing payroll processes for our global employees. The Payroll Specialist will handle a variety of tasks related to processing semimonthly payrolls, global corporate expense report processing, corporate benefits administration, and other duties as requested. This role requires excellent attention to detail, strong organizational skills, and the ability to move seamlessly between administrative tasks, payroll systems, and employee‑facing work.
You will work under the guidance of the Global Payroll Manager to provide a positive employee experience in a fast‑evolving organization. This position will be primarily remote, but will require consistent travel to our Eden Prairie, Minnesota office location for in‑person collaboration.
- Process and validate semimonthly payroll in ADP Workforce Now and other similar systems in an accurate and timely manner.
- Handle special payments and off‑cycle adjustments, including garnishment.
- Perform various journal entries, account reconciliations, and work with the Finance team on payroll related matters.
- Support timely funding of global taxes and benefits – (e.g., 401k, FSA, and HSA contributions, global statutory/non‑statutory taxes and benefits).
- Ensure timely processing of commission payments.
- Assist with year‑end payroll activities.
- Coordinate with payroll service providers and third‑party vendors as needed.
- Enter and maintain accurate employee data in HRIS systems, ensuring data integrity and timeliness.
- Generate reports and assist with data audits to support compliance, payroll, and leadership reporting needs.
- Coordinate and perform audits of payroll system details on a monthly and quarterly basis.
- Prepare and distribute weekly, monthly, quarterly and year‑end reports as necessary for each reporting company.
- Serve as a point of contact for routine HRIS questions, escalating system or process issues as needed.
- Stay current with federal and state payroll laws, including tax withholding, wage and hour laws, and state/country‑specific regulations.
- Manage and guarantee biweekly disbursements of multi‑national expense reimbursements consistent with a federally accountable plan and corporate policy.
- Review and analyze current travel and expense policies and procedures in order to recommend and implement changes leading to best practice operations. Where appropriate, develop and compile T&E procedures, processes and controls.
- Oversee monthly T&E close duties and distribution of biweekly, monthly and annual T&E reports.
- Manage T&E aspects of financial audits – both internal and external.
- Respond to T&E information requests from internal customers.
- Ensure systems are set up and updated to reflect the current employee base including company issued details such as cost centers, approving managers and approval matrix.
- Ensure system is set up and maintained to meet federal, state and local tax requirements.
- Maintain general ledger accounts listed in T&E System, ensure ties to general ledger and monitor for consistent and appropriate use of applicable expense categories.
- Ensure policy compliance using T&E system audit tools and general system oversight.
- Provide administrative support to payroll and HR colleagues, contributing to smooth team operations.
