General Purpose of the Job
The Executive Assistant to the CEO provides high-level administrative support to the Chief Executive Officer and the Executive Leadership Team, ensuring smooth day-to-day operations. This role involves proactive calendar and communication management, preparation of high-impact documents, coordination of travel and meetings, and acting as a liaison internally and externally. A successful candidate will demonstrate discretion, professionalism, and the ability to anticipate needs and solve problems independently in a fast-paced, high-demand environment.
Key Responsibilities
40% - Calendar & Meeting Management — Provide sophisticated calendar management for the CEO, prioritizing inquiries and resolving scheduling conflicts with sound judgment. Ensure seamless day-to-day engagements.
20% - Administrative & Project Support — Manage a wide range of administrative tasks, including special projects, complex document and presentation preparation, travel planning, expense reporting, and maintaining contact lists.
15% - Communication Management — Act as the primary point of contact for internal and external constituencies, exercising discretion and judgment in responding to inquiries and handling sensitive matters.
10% - Executive Support & Awareness — Keep the CEO well-informed of upcoming commitments and follow-ups. Serve as a “barometer” of internal activity and ensure the CEO is prepared for meetings and events.
10% - Internal Liaison & Project Delegation — Serve as a gatekeeper and gateway, facilitating communication and collaboration between the CEO and staff, including assigning projects on the CEO’s behalf.
5% - Other Duties — Perform additional tasks as delegated, including ad hoc research or special requests.
Supervisory Responsibilities
This role does not include direct supervisory responsibilities.
Qualifications
Required:
- Bachelor's degree in Business or a related field.
- 7–10 years of experience supporting C-level executives in a fast-paced corporate environment.
- Advanced proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint); strong presentation and document design skills.
- Proven ability to manage and prioritize multiple tasks and projects independently.
- Strong business acumen and understanding of organizational operations.
- Exceptional time management, organizational, and problem-solving skills.
- High level of emotional intelligence, professionalism, and discretion.
- Excellent written and verbal communication skills.
- Self-starter with a sense of urgency, adaptability, and attention to detail.
- Ability to maintain composure under pressure and handle confidential information with integrity.
Preferred:
- Proficiency in a second language, particularly Spanish.
