Job Title:Special Projects Manager
Job Summary:
The Special Projects Manager supports the planning, coordination, and execution of projects. Working under the guidance of the Project Manager, this role assists in the development of project scopes, estimating, proposal preparation, customer communication, and project delivery. The ideal candidate will be detail-oriented, proactive, and eager to learn the full lifecycle of HVAC project management.

Primary Responsibilities:

• Assist with reviewing project leads from service technicians and customers.

• Support the creation of new project opportunities through customer outreach and internal collaboration.

• Help gather and organize project details through communication with customers and field staff.

• Coordinate with the engineering team or service manager to help develop design concepts and project solutions.

• Aid in performing takeoffs and collecting equipment, material, and subcontractor quotes.

• Assist in compiling estimates and preparing proposals with oversight from the Project Manager.

• Participate in proposal follow-up and customer communication to help secure projects.

• Support project execution including tracking timelines, managing material orders, and preparing field documentation.

• Coordinate with installers, customers, and vendors to ensure smooth project delivery.

• Help manage change orders, permitting, inspections, and project closeout documentation.

• Excellent written and verbal communication skills.

• Familiarity with Microsoft Office (Word, Excel, Outlook).

• Positive attitude, strong work ethic, and eagerness to learn.

• Ability to take direction while also working independently.

Preferred Education and Experience:

• Bachelor’s degree in Construction Management, Engineering, or related field preferred (not required).

• Previous experience or internship in HVAC, construction, or project coordination a plus.
