Working conditions include an excellent, professional office environment with some travel and weekend work as required. Requires ability to perform all duties and to manage confidential materials and records.
Responsibilities- Provides direct administrative support to the administrator of a large department.
- Creates letters, memos, reports, requisitions, and other material from generic direction.
- Prepares agenda for meetings, schedules meetings, records and distributes minutes.
- Handles travel arrangements for supervisor and other office personnel.
- Manages routine administrative functions and correspondence.
- Composes letters, memos, reports, requisitions, research papers, class related papers, exams, and other material from rough drafts or notes from a superior.
- Acts as receptionist; screens visitors and telephone calls; makes appointments.
- Orders supplies and arranges for repair of equipment.
- Organizes and maintains records and filing systems.
- May assist in processing various student forms and requests for review and approvals; may provide general program information to students or direct them to appropriate resources.
- May assist in coordination, planning, and staffing of departmental meetings and events as needed for outreach, recruitment and education.
- Processes personnel actions under supervision; monitors complex records and prepares reports from various materials.
- Monitors expenditures and income against budgets; maintains ledgers and facilitates monthly reconciliations; maintains confidential and official records.
- Keeps and maintains inventory and personnel records; receives, sorts and distributes mail.
- May assist in preparing budgets, grant requests, class schedules and other periodic reports; may track vacation, arrange for back-up coverage and process time cards for assigned employees.
- Performs other duties as assigned.
Required Education
Associate degree in a related field or equivalent experience.
Required Experience
Three (3) years of office administrative experience. Experience may be substituted for education on a 1-for-1 basis.

Licenses/Certifications
None.
Preferred Experience
Experience obtained within higher education.
Equipment
Knowledge of personal computer, word processing, spreadsheet, and database software; standard office equipment.
Working Conditions
Professional office environment; some travel and weekend work may be required. Physical capability to lift up to 10 pounds occasionally; interface with office equipment and materials as needed.
Other
Must have excellent customer service, interpersonal, organizational, and verbal skills.
