Full Time, 36 Hours per week (however Part Time will be considered).

Location

Royal Edinburgh Hospital, Morningside Road and surrounding areas.

Job Overview

An exciting opportunity to support the Royal Edinburgh & Associated Services Administration Team. The role involves providing comprehensive secretarial and administrative support within the directorate, including audio transcription of clinical correspondence, appointment scheduling, room booking, basic administrative tasks, filing, tracking notes, setting up agendas, and minute taking for a variety of meetings such as Family Planning, Care Plan Approach, Discipline Huddles, Multi-Disciplinary Team meetings, Ward Rounds, and Discipline Handovers.

Basic administration and equipment support is also required during meetings such as Junior Doctor Handovers.

Key Responsibilities
  • Act as first point of contact for clinicians, managing their diaries and producing accurate clinical correspondence.
  • Provide comprehensive secretarial support including audio transcription, appointment scheduling, room booking, filing, tracking notes, and agenda preparation.
  • Take minutes and set up agendas for various clinical and administrative meetings.
  • Support meeting preparation and basic administrative tasks such as providing equipment and technical assistance.
  • Prioritise workloads efficiently across multiple areas and locations, using initiative and working autonomously with minimal supervision.
Essential Qualifications
  • Friendly manner with excellent interpersonal skills and strong telephone presence.
  • Strong motivation to achieve results and the ability to develop positive working relationships across multi-disciplinary teams.
  • Excellent administration and advanced keyboard skills with keen attention to detail.
  • Ability to work independently or as part of a team, prioritising workloads across multiple locations and managing competing demands.
  • Excellent oral and written communication skills, with an understanding of confidentiality and the ability to work autonomously with minimum supervision.
  • Good knowledge of Microsoft Office packages and experience working within a busy administrative environment.
  • HNC/SVQ Level 3 in Secretarial Studies or Business Administration, or equivalent relevant experience.
Desirable Qualifications
  • Training in the TRAKcare Patient Management System.
  • Knowledge of medical terminology and audio typing.
  • Previous experience in minute taking.
