About the role:

An exciting opportunity for an experienced Administrator to join our busy National and International Partnerships Department. Bring strong organisational, interpersonal, and IT skills to ensure efficiency and effectiveness across the department.

Organised and methodical, you will work in an administration environment, managing multiple priorities, time and workload, meeting deadlines, and maintaining confidentiality.

The department has multiple strands, working across internal and external senior stakeholders – we look forward to working with you as you support and enable our work across Scotland (and beyond).

Key responsibilities:

  • Be the main first point of contact for the National & International Partnerships Department and process internal and external enquiries and requests, ensuring responsiveness and excellent communication, including responding to shared email inbox enquiries.
  • Support the Head of National & International Partnerships, including running the diary, arranging meetings and visits, dealing with correspondence, compiling meeting papers, and organising paperwork and filing to ensure role effectiveness.
  • Give general administrative support, such as coordinating diaries, setting up meetings, making arrangements for external visits, supporting delivery of training programmes and events, making travel arrangements to maintain staff efficiency, gathering and collating departmental information as required for management or reporting purposes.
  • Liaise with Finance and Human Resources on the recording and processing of financial and personnel transactions (e.g. financial requisitions, travel and credit card claims, and attendance records) to ensure up‑to‑date, correct information.

Key qualifications and experience:

  • Excellent ICT skills in Microsoft Office, including Word, Excel, MS Teams, Outlook and databases.
  • Competence in use of online event and communication software such as Eventbrite and Survey Monkey.
  • Experience of maintaining confidentiality and need for discretion.
  • Proven experience in a busy administration environment.
