First People Solutions is working with a leading consulting engineer who are known for delivering projects across civil and structural engineering, infrastructure, energy, geotechnical, transportation and environmental sectors.
Due to continued growth, they are looking for an Assistant Administrator / Document Controller to join their Edinburgh team, providing essential administrative and project support to senior leadership and the wider engineering team.
The RoleYou’ll be responsible for keeping project administration, documentation and coordination running smoothly, working closely with Partners, Technical Directors, engineers, clients and external stakeholders.
Your responsibilities will include:- Organising and maintaining project documentation, including reports, presentations, and meeting minutes
- Coordinating meetings, calendars and project schedules
- Handling day-to-day correspondence and liaising with project teams and clients
- Assisting with invoicing, expenses and budget tracking
- Arranging travel, accommodation and project logistics
- Tracking project milestones, deadlines and actions
- Ensuring document control processes are followed, and information is kept up to date
We’re looking for an organised and proactive administrator who enjoys working in a busy, engineering environment.
You’ll ideally have:- Previous experience in an administrative role and/or a background working within an engineering / construction services environment
- Excellent organisational and time management skills
- Strong attention to detail and the ability to manage multiple priorities
- Excellent written and verbal communication skills
- Good knowledge of Microsoft Office packages
- The ability to work independently while supporting a wider team
