About us:Come and work with us in a rewarding and secure job. An exciting opportunity has arisen to join our friendly and supportive team in the role of Management Administrator.
We have 10,600 patients and are a well established and respected teaching practice delivering high quality primary care services and achieving excellent results in relation to delivery of our contractual requirements and enhanced services. Our team includes 6 GP Partners, 5 Salaried GPs as well as GPSTs and medical students. In addition to our 17 strong reception/admin team we have 3 Practice Nurses and a team of 6 in the Treatment Room.
We also have an ANP, Paramedics, Physio, Pharmacists, Link Worker and CAMHS Link Worker attached to our Practice.
This is a key role within the Practice, requiring a high degree of initiative and the ability to work autonomously. The postholder will work both independently and in partnership with the Practice Manager to support the effective and efficient operation of the Practice as a business.
The role carries responsibility for managing a varied workload, taking ownership of designated tasks and leading a range of projects that support the strategic and operational management of the Practice. Key areas of responsibility include project management, practice administration, financial administration, patient education, information governance, and minute taking. Approximately 20% of your time will be spent working in reception. This will help you to maintain the knowledge and skills needed to effectively carry out your administrative responsibilities. The reception team rotate different tasks throughout the day to ensure variety within the role and to promote skills across different disciplines. Reception is often the first contact patients and visitors will have with the Practice and, therefore, reflects the whole culture of the Practice.
First impressions are extremely important so it is imperative to be friendly and approachable at all times. This role is varied and will include dealing with appointments, processing prescription requests, responding to general enquiries and actioning requests for follow ups as per GPs and other members of the clinical team. This part of the role will be undertaken late afternoon.
This is a busy and varied role that requires a highly organised individual who can work independently, use initiative, communicate effectively, and manage competing priorities. Strong IT skills are essential, as the role involves extensive use of computer systems, including the Vision clinical system, Docman document management system, other healthcare-specific software applications, and Microsoft Office packages.
The postholder will be expected to exercise sound judgement and discretion, proactively identifying, anticipating, and resolving issues as they arise in the course of their duties. Previous experience in an administrative role is essential, while experience within a General Practice, NHS, or other healthcare setting, together with project management experience, would be advantageous. Comprehensive training and support will be provided across all aspects of the role.
