Position: Waiting List Coordinator - Maternity Services

The role:

The Waiting List Coordinator supports the effective management of inpatient and outpatient waiting lists, ensuring accuracy, efficient use of capacity and compliance with national and local waiting time targets. Working closely with clinical and managerial teams, the post holder will monitor waiting list activity, resolve potential delays, manage external referrals where required, and provide accurate performance data to support service planning and delivery across NHS Greater Glasgow and Clyde.

  • Part time position (28 hours per week)
  • Based in Royal Maternity Hospital

Please note the salary is pro‑rata for part time hours.

Key responsibilities:
  • Is responsible for the management of all waiting lists within a designated service and ensures accuracy and completeness of these through the appropriate staff.
  • Is responsible for ensuring arrangements are in place to achieve the waiting list targets for sphere of influence within NHS GG&C as agreed with the Scottish Government and as committed to in the National Plan. Manage the flow of patients across multiple sites and services if required in order to maintain waiting time guarantees and address capacity shortfalls.
  • Support the development, implementation and maintenance of a capacity planning system, liaising with clinicians regarding the urgency profile of individual sub specialties, and to monitor waiting list/time shapes, identifying changes in demand and potential problems including long waiting patient breachers, difficulty in achieving urgent patient timescales with long waiters and patients breaching guarantee.
  • Engage with multi‑site multidisciplinary team members with competing clinical commitments to support change, supporting them to meet the complex challenges of the waiting times agenda.
  • With the Administration Waiting List Manager implement, develop, revise as appropriate and monitor NHS GG&C plans for achievement of targets, and the action plan required to implement the strategy, drawing on best practice from multiple sources.
  • Work towards minimising patient waiting times and ensure no patient exceed the guarantees by identifying and highlighting long waiters to the relevant Service Manager/ Waiting List Manager and Clinical Support staff, and work with the clinical team to ensure appropriate management of the patient.
Knowledge, training, qualifications and/or experience required to do the job:
  • Enthusiasm and drive to make sure that the targets are met for the benefit of patients is the key to success in this post, and this comes from a solid background in which extensive experience of all elements of the patient journey has been gained.
  • An understanding of the Health Service in Scotland in particular waiting time targets and guarantees. An understanding of the workings of the acute clinical setting.
  • Knowledge of Medical terminology
  • Good organisational and communication skills
  • Previous experience working with clinical systems desirable. Sound knowledge of the workings of the acute clinical setting
  • Proficiency in analysing data using Database Management (Microstrategy and Microsoft Excel)
  • Ability to present complex information clearly and logically in both written and oral forms
  • Experience of data handling and producing reports, including oral, written, numerical and graphical information. Can present complex information clearly and logically.
  • Knowledge of obligations with regard to the General Data Protection Regulations (GDPR), Caldicott Guidelines and the Freedom of Information Act
Desirable Qualification
  • SVQ in Business & Administration at SCQF Level 6
  • HNC in Administration & IT or HNC in Business
