The role:This post is instrumental to the service as it provides us with administrative capability to contact patients about lengthy wait times (a subject matter in many complaints), identify long waits on the list, and to be able to identify data trends in the wait list.
The Gender Service at the Sandyford offers a comprehensive service available to people who are uncertain about their gender identity or expression and are considering feminising or masculinising treatment. The service primarily assists people who are transgender to facilitate medical and surgical treatments, enabling greater comfort in the face of gender non-conformity.
The post holder will provide support and enhance the capability of the administrative and secretarial team within the gender service providing patient communications, waitlist management, and data collecting and presenting. This post shall be a key role providing operational management and support for the Sandyford Gender Wait List Initiative.
Duration, Location, and Working Pattern:- Location based in Sandyford Central NHS Greater Glasgow and Clyde
- Full-time position (37 hours per week)
- Fixed-term post for 6 months
- Shift pattern for this post is Monday-Friday, 08:30 – 16:30
The following sets out the core responsibilities of the Waiting List Co‑ordinator. The frequency and extent to which the post holder carries out all duties may vary from speciality to speciality.
Is responsible for the management of all waiting lists within the gender service and ensures accuracy and completeness of these.
- Is responsible for ensuring arrangements are in place to achieve the waiting list targets for sphere of influence within NHS GG&C as agreed with the Scottish Government and as committed to in the National Plan.
- Manage the flow of patients across the gender service to maintain waiting time guarantees and address capacity shortfalls.
- Support the development, implementation and maintenance of a capacity planning system, liaising with clinicians regarding the urgency profile of individual subspecialties, and to monitor waiting list/time shapes, identifying changes in demand and potential problems within the patient’s treatment pathway.
- Engage with multidisciplinary team members with competing clinical commitments to support them to meet the complex challenges of the waiting times agenda.
- Work with clinical staff to manage long waiting times for vulnerable patients and address challenges in meeting patient timelines.
- Enthusiasm and drive to make sure that the monitoring of the waitlist and data collection targets are met for the benefit of patients is the key to success in this post, and this comes from a solid background in which extensive knowledge of all elements of the patient journey has been gained.
- An understanding of the Health Service in Scotland in particular waiting time targets and guarantees. An understanding of the workings of the acute clinical setting.
- Good organisational and communication skills
- Previous experience working with clinical systems desirable.
- Proficiency in analysing data using Database Management (Microstrategy and Microsoft Excel)
- Ability to present complex information clearly and logically in both written and oral forms
- Experience of data handling and producing reports, including oral, written, numerical and graphical information. Can present complex information clearly and logically.
