This post sits within the Finance & Corporate Services Financial Business Support Team as part of the Finance & Corporate Services Directorate which is responsible for delivering high quality corporate services across the Organisation. This role will a trusted adviser to the Director of Finance & Corporate Services which is a key role to our Historic Environment Scotland Executive Leadership Team.

Key Responsibilities of this role

  • Work with the Director to set strategic priorities helping identify areas for focus whilst leading aspects of the Directorate strategic planning process
  • Work with the Director and the Executive Assistant whom you will line manage to strategically manage the Directors time ensuring they have all the information necessary to be productive and engaged and ensuring that the office runs efficiently and effectively
  • Lead on various Directorate and cross organisational projects as requested by the Director ensuring the Directors involvement in project or decision-making processes takes place at key times where their input and authority are most needed
  • Working with relevant stakeholders you will work to compile and monitor the Directorate Risk Register including supporting risk identification management and monitoring as well as supporting the directorate operational plans
  • Work to ensure consistent and appropriate implementation of organisational policies and procedures whilst ensuring directorate compliance in terms of governance - Certificates of Assurance Audit requests respond to Directorate FOI requests - as well as colleague health safety and wellbeing
  • Support and lead where appropriate workforce planning requests general recruitment issues and tracking staff movements for the Directorate
  • Coordinate collate draft and complete high-level reports corporate responses and briefings for the Chair HES Board Chief Executive and Executive Leadership Team your Director and Scottish Government Sponsor body ensuring deadlines are met
  • Oversee collation and submission of monthly contributions for newsletters and publications
  • Facilitate and support Directorate meetings as appropriate including Heads of Service Directorate level Sections and Team meetings ensuring appropriate paperwork is issued and lead on any actions or follow up activity
  • Maintain membership of the Business Manager Network and represent the interests of the Directorate at meetings leading on work for the Directorate commissioned through this network
  • Be responsible for managing competing demands for information within short timescales sometimes in challenging situations and circumstances
